Full Job Description

Position Summary:

We are seeking an energetic, outgoing, problem-solving Office Support Professional to provide support for our Lab. This candidate will provide administrative support, assist with employee inquiries, organize supplies, help plan team lunches and prepare conference rooms for meetings. Independent judgment is required to plan, prioritize and organize diversified workload and recommend changes in office practices or procedures.

Roles and Responsibilities of the Position:

Assist with management and coordination of all site visitors (inclusive of circulating site and travel information, alerting security, reserving conference rooms, preparing meeting agendas, manage lunch orders and securing dinner reservations, etc.)
Prepare conference rooms for meetings and lunches including all ordering, set up and clean up. Monitior and maintain conference rooms on a daily basis.
Coordinate team breakfast/lunches/dinners and assist with coordinating delivery, set-up and clean-up.
Stock and maintain copy rooms daily inclusive of unpacking office supplies on arrival
Update employee chart
Distribute mail and packages on a daily basis
Set up new employee stations including supplies.
Receive and escort vendors.
Act as backup for Instacart, coffee, etc. orders for all Colorado sites
Act as a point of contact, field questions and inquiries, and proactively problem solve as needed.
Assist with special projects as needed.
This job will require lifting and moving boxes on a regular basis.
As needed, provide backup administrative support including, but not limited to calendar management, travel arrangements, reconciling expenses, meeting coordination and other administrative tasks.
Internal Company Support
Provide administrative support to leadership
Support client follow-up and retention initiatives
Assist with proposals and document formatting
Manage company LinkedIn and professional social media content
Update website content and maintain accuracy

Required Qualifications:

1+ years Administrative/Support experience required.
Proficient in Outlook, Concur and other Microsoft applications.
Ability to multi-task and shift priorities rapidly.
Ability to lift to 20-25lbs and utilize a hand cart is required.
Professional, friendly and calm demeanor with excellent written and verbal communication.
Detail oriented and well organized with a pro-active, problem-solving approach to any challenges.
Enthusiastic, friendly, self-motivated with a can-do attitude.
Demonstrated ability to work well with other accomplished professionals within and across functions/teams.
Bachelor’s or Associate degree preferred but not required.
