Full Job Description

Job Summary

The Assistant Aviation Administrator provides critical operational and financial support to ensure the seamless execution of all flight department activities. Based in Englewood, CO, this dual-function role acts as the primary backup for the Aviation Administrator and managing essential departmental accounting tasks. The ideal candidate will be a highly organized professional capable of coordinating with global vendors and maintaining rigorous accuracy in reconciling pilot expenses, fuel billing and operational costs.

Scheduling Responsibilities

Operational Support: Provide comprehensive backup scheduling for the Aviation Administrator as well as assisting with on-site coordination of aircraft stock, catering and passenger vehicles.
Trip Coordination: Manage end-to-end logistics for international and domestic trips, including pilot assignments, FBO notifications, catering arrangements, passenger itineraries and crew trip packets.
Vendor Relations: Act as an additional point of contact for external vendors, such as fuel providers and ground handlers, to coordinate fuel releases and logistics.
Administrative Oversight: Assist in maintaining accurate records of flight logs, aircraft stock and department expenses.
Weekends/Holidays: This role often requires evening, weekend and holiday availability on site.

Financial & Expense Management

Pilot Expense Reconciliation: Audit and reconcile monthly pilot and crew expense reports, ensuring all charges (e.g., per diems, lodging, ground transport) align with company travel policies and have valid supporting documentation.
Credit Card Oversight: Perform detailed reconciliation of corporate flight department credit cards, matching individual transactions to flight legs and specific aircraft tail numbers.
Invoice Processing: Review and verify accuracy of invoices from aviation vendors, including FBOs and fuel providers, before submitting for payment.

Qualifications

Experience: 3–5 years of administrative or operational experience, ideally within a corporate flight department or aviation environment.
Knowledge: Familiarity with Federal Aviation Administration (FAA) regulations and general aviation operations such as ability to read NOTAMs and basic flight planning knowledge.
Technical Skills: Proficiency in flight scheduling software and Microsoft Office Suite. Ability to learn new scheduling software.
Abilities: Strong attention to detail with the ability to manage multiple priorities in a fast-paced environment with regular evening/weekend needs. Ability to lift 20 lbs (i.e. passenger luggage, aircraft items).
License: Must possess a valid Colorado Driver’s License. FAA Dispatch Certificate preferred but not required.

Pay: $65,000.00 - $75,000.00 per year
