Full Job Description

Provide a variety of administrative and operational support services for the College of Dental Medicine primarily in the areas of the Office of Academic Affairs.

Must demonstrate the ability to handle a multitude of tasks in an ever-changing, dynamic academic environment, ability to work independently and collaboratively in a time setting.

Knowledge, Skills and Abilities

Individuals must possess the knowledge, as well as the following skills and abilities or be able to perform the essential functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities.

Good computer skills necessary to set up document formats in Word, Excel, PowerPoint, and any other software program required by this position.
Excellent verbal and written communication skills. Ability to interact with administration, faculty, staff, and students effectively and professionally.
Experience in creating schedules of activities, preferably in an academic setting.
Language ability to produce clear and concise reports; reasoning ability to problem solve quickly.
Must be able to prioritize and schedule opportunity for resolution of problems.
Demonstrate a commitment to working in an organization that values and promotes humanism.

Required Qualifications

Education:

AA degree and/or any combination experience/education as a substitute for minimum education.
High School Diploma or Graduate Equivalency Diploma (GED) required.

Experience:

Minimum of 4-5 years administrative/clerical or equivalent experience.

Preferred Qualifications

BA/BS preferred.
Preference will be given to those who possess experience in an academic environment and have 6+ years experience as an Administrative Assistant/Associate or Executive Assistant.

Essential Job Duties

Key Responsibilities

Assist the supervisor, in regards to establishing priorities and identifying and resolving problems that are administrative in nature.

Oversee and/or perform specific tasks assigned, such as scheduling or admissions.

Serve as a team member within the Office of Academic Affairs (OAA) to provide seamless service to students, faculty and staff.

Provide support for educational research to the CDM administration, faculty and OAA.

Key Responsibilities

Provide assistance to the Director of Education, Assistant Director of Education and Assistant Director of Outcomes Assessments with ongoing communications and reports in order to disseminate information, as well as to aid in planning processes.

Key Responsibilities

Provides support to the faculty in the construction, delivery, proctoring, and analysis of examinations including creation of SharePoint sites, setting up technology needs for faculty and/or students for use during assessment activities, troubleshooting IT issues during delivery and proctoring of assessment activities, preparing question performance reports for exams, assisting in the construction, delivery and proctoring of OSCE’s, clinical exams and other assessment activities.

Key Responsibilities

Assists in curriculum delivery and assessment via educational technology including proficient use and maintenance of SharePoint sites for all classes, ability to create and deliver quizzes and/or assist with faculty training, create and maintain spreadsheets for data upload, creation and maintenance of curricular documents including but not limited to group assignments, assessment numbering systems, course scheduling and creation of exams and their necessary reporting requirements in ExamSoft.
