Office Administrator

Edgewood United Church, East Lansing, Michigan

Title: Office Administrator

Regular Part Time: 30 hours per week

Work Location: Primarily In-Person

Reports to: Pastor

Position Summary

The Office Administrator is the first point of contact many people have with Edgewood United Church, and it is a key and essential position in the life and ministry of the church. This position supports our pastor, the congregation (including teams and committees), and visitors. The Administrator serves multiple roles, including receptionist, secretary, and office manager. The person in this position will facilitate effective communication within the congregation and with the wider community.

Essential Functions

Welcome & Hospitality

During office hours, greet members and guests warmly and assist where appropriate.
Maintain good communication and courteous working relationships with staff, lay leadership, and members of the congregation.
In consultation with the pastor, establishes and publicizes office hours.

Administrative

Serve as office receptionist for the church.
Maintain the Master Calendar for the church.
Handle the church’s mail and distribute as appropriate.
Answer telephone and respond to voice messages and emails, directing and taking messages as needed.
Oversee church office equipment, which includes ordering supplies and scheduling maintenance, as needed.
Maintain electronic copies of final documents for the pastor and the church.
Prepare name tags for new visitors to the church.
Serve as primary administrator for the membership database (Realm).
Coordinate help from volunteers for office tasks, as needed.
Seek continuous improvement in processes and procedures.

Communications and Promotion

Prepare communications for the church, making sure they are accurate and professional, including our regular publications:
· eNotes (electronic communication) in coordination with staff and input from various committees to be sent to members and staff biweekly (Tuesday and Friday). (eNotes include upcoming events and calendar as well as worship information and announcements.)
· Worship Bulletin for each service, in coordination with pastor and Music Coordinator. This includes large print bulletins.
· “Happenings” newsletter to be included in the bulletin.

Collect bulletins after service to put in envelopes for volunteers to send/deliver to shut-ins.
Assemble braille hymnal with hymns for upcoming Sunday.
Update and maintain electronic hall monitor welcome screen.
Prepare special bulletins (i.e., Advent, Christmas, Lent, Holy Week & Easter).
Coordinate the assembling of the annual reports from the various leaders and ministry teams; collates and prints the reports.
Serve as liaison with UCC Conference’s office administrator for use of space at Edgewood by the UCC Conference.
Handle all bulk mailings for the church.
Collaborate with the Web Communications Assistant to update, manage, and create content for the church’s website, Facebook page, and all other social media platforms.

Pastor and Staff Support

Attend staff meetings.
Provide administrative support for the pastor, staff members, and leaders of the church.

Facilities Scheduling

Manage building use in accordance with the church schedule, policies, and user fees.
Coordinate scheduling of rooms for committees and task forces, as needed.
Schedule Zoom meetings as needed for various church groups.
Remotely unlock the building, as needed.

Other Functions

Coordinate arrangements for funerals, weddings, baptisms, visits, etc., with the pastor.
Other responsibilities as directed by the pastor.

Qualifications

Office and/or customer service related experience.
Excellent interpersonal skills in dealing with the public, staff, and congregation.
Excellent written and verbal communication skills.
Excellent organizational and administrative skills for the church office.
Consistently operates with integrity. This includes direct, honest, and transparent communication.
Strong secretarial and clerical skills, including proofreading.
Ability to maintain confidentiality and practice appropriate discretion.
Ability to work collaboratively and support the team.
Ability to manage multiple tasks and meet deadlines.
Ability to use standard office practice and procedures and skillfully handle office equipment such as the computer, copier and telephone.
Strong computer skills and ability to learn new software.
Edgewood uses Realm Church Management Software
Competence in Microsoft Office (especially Word and Publisher) and Google Drive products.
Familiarity with social media, such as Facebook.

Physical Expectations

Ability to answer phone calls.
Able to type and use computer and copier.
Able to lift 25 lbs.

Pay: $40,000-$49,000 (pay commensurate with experience)
