Full Job Description

About the Role

We are seeking an organized, proactive, and detail-oriented Accounting Project Coordinator to support both our accounting and office operations teams.

This role is ideal for someone who enjoys wearing multiple hats and understands that no task is too big or too small when supporting a growing organization. You will serve as one of the first points of contact for visitors, vendors, clients, and team members while helping maintain the financial and administrative processes that keeps the company operating efficiently.

The ideal candidate is dependable, positive, professional, and naturally driven to see tasks through to completion.

What You'll Do

Accounting & Administrative Support

Assist with Accounts Payable and general bookkeeping functions
Enter invoices, approvals, bills, and vendor information into QuickBooks
Process employee expense reports and related documentation
Assist with company credit card reconciliations
Support the accounting team with reports, document management, and special projects
Maintain organized digital and physical filing systems
Download, organize, and maintain project-related financial documentation from Procore, including commitments, purchase orders, subcontracts, change orders, and approval records
Review and track Procore commitments and approvals to ensure documentation is complete and supports accounting and project administration processes
Assist with document reconciliation between Procore and accounting records as directed by the Finance and Project Management teams

Office Operations

Welcome visitors and assist managing front desk activities with professionalism and hospitality
Answer and route incoming phone calls
Manage incoming and outgoing mail and deliveries
Maintain office supplies and coordinate vendor orders
Assist with office equipment management and troubleshooting
Coordinate meeting room setup, including audio/visual equipment
Assist in planning, coordinating, and executing company events, employee appreciation activities, team meetings, holiday celebrations, and other special functions
Support event budgeting, vendor coordination, purchasing, scheduling, decorations, setup, and logistics to ensure successful and engaging company events
Maintain event calendars and assist with company culture initiatives that promote employee engagement and team collaboration

Team & Project Support

Collect and track Certificates of Insurance from subcontractors and vendors
Create correspondence, reports, spreadsheets, and presentations
Coordinate company meetings, lunches, employee events, and team-building activities
Assist with travel arrangements and logistics when needed
Support special projects and initiatives across departments

What We're Looking For

Required Qualifications

Minimum 3 years of administrative, office management, or accounting support experience
Experience with bookkeeping and Accounts Payable processes
Proficiency in QuickBooks
Bilingual English/Spanish (written and verbal)
Strong Microsoft Office skills, particularly Excel, Word, Outlook, and PowerPoint
Excellent organizational, multitasking, and time management abilities
Strong written and verbal communication skills
Ability to work independently while collaborating effectively with a team
Commitment to accuracy, accountability, and follow-through

Preferred Qualifications

Associates degree, relevant certifications, or some college coursework
Experience in construction, professional services, or project-based industries
Knowledge of Procore or similar construction management software
Experience planning internal events, meetings, or company functions

Physical Requirements

This position may require standing, walking, reaching, bending, lifting office materials up to 20 pounds, and performing repetitive hand motions associated with office work.
