Full Job Description

We are seeking a detail-oriented and highly organized Hotel Accounting Coordinator to join our team. This position reports directly to the Accounting Manager and General Manager and is responsible for supporting the daily accounting operations of the hotel, with primary responsibility for Revenue Audit, Accounts Receivable, Accounts Payable, and Commission Reconciliation.

The ideal candidate will have prior hotel accounting experience and be proficient in Opera Cloud, QuickBooks Online, and Microsoft Excel. This individual must be capable of working independently, managing multiple priorities, and maintaining a high level of accuracy in a fast-paced hospitality environment.

Key ResponsibilitiesRevenue Audit & Night Audit Review

· Review and verify the Daily Revenue Report and Night Audit package.

· Verify the accuracy of room revenue, food and beverage revenue, banquet revenue, and other hotel income.

· Review posting activity to ensure transactions are properly recorded and supported.

· Investigate, document, and report discrepancies identified during the Night Audit review process.

· Verify posting codes, routing instructions, direct billing accounts, adjustments, rebates, and guest folio activity.

· Prepare daily and weekly exception reports for management review.

· Work closely with Front Office Management to resolve revenue-related discrepancies and posting errors.

Accounts Receivable

· Maintain Accounts Receivable records accurately and timely.

· Generate and distribute guest, group, corporate, and city ledger invoices.

· Ensure invoices are issued within 48 hours of guest departure or event completion.

· Apply payments and maintain accurate customer account balances.

· Reconcile Accounts Receivable ledgers and investigate discrepancies.

· Monitor aging reports and follow up on outstanding balances.

· Maintain collection logs and document collection efforts.

· Research and resolve billing disputes and customer inquiries in a professional and timely manner.

· Prepare weekly Accounts Receivable and collection status reports.

· Review and process tax-exempt documentation and maintain supporting records.

Accounts Payable

· Process vendor invoices accurately and timely.

· Match invoices with supporting documentation and required approvals.

· Verify proper account coding before posting invoices.

· Maintain vendor records and update vendor information as needed.

· Reconcile vendor statements and resolve discrepancies.

· Monitor invoice due dates and assist with payment scheduling.

· Process invoices and supporting documentation through Cashflow or similar accounts payable platforms.

· Maintain organized accounting records and supporting documentation.

Commission Reconciliation

· Review OTA, travel agency, and third-party commission statements.

· Verify commission calculations and deductions.

· Investigate and resolve commission discrepancies.

· Maintain supporting documentation for commission payments and reconciliations.

Operational & Administrative Support

· Provide support and guidance to Front Desk associates regarding:

o Accounts Receivable procedures

o Tax-exempt documentation

o Posting codes

o Direct billing procedures

o Chargebacks and billing disputes

· Assist operational departments with accounting-related inquiries.

· Maintain organized accounting files and records.

· Support the Accounting Manager with special projects and departmental initiatives.

· Recommend improvements to accounting procedures and internal controls.

Qualifications

· Associate’s or Bachelor’s Degree in Accounting, Finance, Business Administration, or related field preferred.

· Minimum of 2 years of accounting experience required; hotel accounting experience strongly preferred.

· Experience with Opera Cloud, Opera PMS, or similar hotel property management systems is required.

· Experience with QuickBooks Online is required.

· Strong proficiency in Microsoft Excel, including Pivot Tables, XLOOKUP/VLOOKUP, formulas, filtering, sorting, and data analysis.

· Experience with Cashflow or similar accounts payable payment platforms is preferred.

· Strong knowledge of Accounts Receivable, Accounts Payable, Revenue Audit, and hotel accounting procedures.

· Excellent analytical, organizational, and problem-solving skills.

· Strong attention to detail and accuracy.

· Ability to manage multiple priorities and meet deadlines in a fast-paced environment.

· Strong verbal and written communication skills.

· Bilingual English/Spanish preferred.
