Job Title: Office Operations Coordinator

Company: Autool USA Inc.

Location: Hayward, CA 94545 (On-Site)

Job Type: Full-Time (Part-Time considered for the right candidate)

Compensation: $22 to $28/hr or $50,000 to $60,000/yr depending on experience and employment type

About Autool USA

Autool USA Inc. is the US subsidiary of Shenzhen Autool Technology Co., Ltd., a leading manufacturer of professional automotive diagnostic and repair equipment. We are building our US market operation from the ground up, headquartered in Hayward, California.

Our products serve professional repair shops, dealership service departments, and fleet operators nationwide. We go to market through national and regional distribution partners including Advance Auto Parts, Worldpac, NAPA, and ISN, as well as direct enterprise accounts.

We are a small, fast-moving team. The people who join us now are building something that will matter.

What You Will Do

Handle incoming mail, packages, and office correspondence and route to the appropriate team member
Support HR administration including onboarding paperwork, employee file maintenance, and basic compliance tracking
Process invoices, code expenses, and support bookkeeping workflows in Zoho Books
Track purchase orders and follow up on open items with vendors and freight partners
Reconcile inbound and outbound shipments against carrier invoices, packing lists, and freight documents
Coordinate general office and warehouse operations and escalate issues proactively
Support CEO-to-team communications, task tracking, and follow-through on action items
Assist with communication and coordination with our China headquarters team

What We Are Looking For

Required:

1 to 3 years of experience in office administration, bookkeeping, or operations
Proficiency in Excel or Google Sheets
Strong written and verbal English communication
Organized, detail-oriented, and able to work independently
Familiarity with accounting or ERP software (Zoho Books experience is a plus)

Strongly Preferred:

Business Mandarin Chinese, spoken and written. This is a meaningful differentiator given our daily coordination with China headquarters and is compensated accordingly.
Experience in a product, distribution, import, or export business
Familiarity with freight documents such as bill of lading, commercial invoice, packing list, and ACH reconciliation
Comfortable in a startup environment where the role grows with the company

Compensation and Growth

Hourly: $22 to $28/hr (part-time)
Salary: $50,000 to $60,000/yr (full-time)
Business-level Mandarin fluency is compensated at the upper range of the band
90-day performance review with compensation adjustment based on results
This is a ground-floor role with a clear path to greater operational responsibility as Autool USA scales
