Our team prioritizes exceptional customer service, collaborating closely with homeowners, builders, and realtors to deliver a seamless and professional experience from start to finish.

Overview
We are seeking a dedicated Office Manager/Bookkeeper to join our dynamic team. This role combines administrative leadership with financial management, ensuring the smooth operation of daily office functions while maintaining accurate financial records. This is a key right-hand role in a small business. The ideal candidate will be professional, proactive, organized, and possess strong communication skills to support our company's growth and operational efficiency.

This position is central to keeping the business running smoothly. Position will help manage client communication, scheduling, invoices, payments, bookkeeping support, vendor coordination, employee/admin tasks, and office systems.

Because this role involves access to confidential client, financial, employee, and business information, trustworthiness, discretion, and sound judgment are absolutely essential.

Duties

Oversee daily office operations, including front desk management and phone systems.
Manage scheduling, calendar coordination, and appointment setting for staff and clients.
Handle bookkeeping responsibilities using QuickBooks, including data entry, invoicing, bill payments, and bank reconciliations.
Maintain organized filing systems both physically and digitally using Google Workspace and Microsoft Office tools.
Provide exceptional customer service by greeting visitors, answering inquiries, and supporting client communications with professionalism and courtesy.
Assist with clerical tasks such as proofreading documents, managing correspondence, and maintaining office supplies inventory.
Support administrative functions like proofing marketing materials, managing client files, and ensuring efficient time management across tasks.

Experience

Minimum of two years of office management or administrative experience in a professional setting.
Proven bookkeeping experience with proficiency in QuickBooks or similar accounting software.
Strong computer literacy including Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), and data entry skills.
Experience handling phone systems and front desk duties in a fast-paced environment.
Excellent organizational skills with attention to detail; ability to prioritize tasks efficiently.
Previous experience in customer service roles such as administrative receptionist is advantageous.
