This role offers an exciting opportunity to coordinate complex schedules, manage administrative tasks, and support a variety of projects with energy and precision. You will be the backbone of smooth operations, ensuring that our executives can focus on strategic priorities while you handle the details with enthusiasm and professionalism. Responsibilities

Manage and coordinate executive calendars, including scheduling meetings, appointments, and business travel arrangements using tools like Microsoft Outlook Calendar and Google Workspace.
Provide comprehensive administrative support such as drafting correspondence, proofreading documents, transcribing meetings, and handling confidential information with discretion.
Organize and facilitate events, meetings, and conferences from planning stages through execution, ensuring all logistics are seamlessly managed.
Handle internal communication across teams to ensure timely information flow; collaborate effectively with C-suite executives and other stakeholders.
Oversee office management duties including filing, data entry, managing multi-line phone systems, front desk responsibilities, and maintaining office supplies inventory.
Utilize productivity software such as Microsoft Office Suite and Google Workspace to prepare reports, presentations, and spreadsheets efficiently.
Assist with bookkeeping tasks using QuickBooks or similar accounting software; support project coordination efforts to meet deadlines and objectives.

Skills

Proven experience as a Personal Assistant or Program Assistant with strong organizational skills and attention to detail.
Excellent typing speed combined with proficient use of Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and other productivity tools.
Skilled in event planning, project management, and office management to ensure smooth operations across multiple initiatives.
Strong communication skills with professional phone etiquette; adept at internal communication and collaboration with executives.
Technical proficiency in video conferencing software (e.g., Zoom, Microsoft Teams) for virtual meetings; capable of managing calendar systems like Microsoft Outlook Calendar.
Experience handling confidential information responsibly while maintaining high levels of discretion.
Ability to perform data entry accurately while managing clerical tasks such as filing and document organization.
Customer service orientation with a friendly demeanor at the front desk or reception area; capable of managing multi-line phone systems efficiently.
