Full Job Description

Part-Time M/W/F (22hours/week)

The Administrative Specialist position is a classified, non-exempt position with Dimensions Collaborative School which is operated by Element Education. The Administrative Specialist reports to the Community Engagement Manager and the School Director. The Administrative Specialist is primarily responsible for assisting with the community engagement program.

Essential Functions

Support Student Learning

Support the social-emotional and physical safety of all students
Comply with all aspects of the safety plan
Coordinate with the Community Engagement Manager and Leads on use of the Dragon Wagon
Drive Dragon Wagon to locations in accordance with established calendar
Assist in creating and implementing programs such as labs (science, technology, art), mobile library, open houses, park days, business sites, and marketing
Maintain inventory and provide requested materials
Collaborate with the Community Engagement Manager on selection and management of curricular offerings:
Process digital curriculum enrollment; review and update offerings as necessary
Process subscriptions and memberships; review and update offerings as necessary
Compile curricular kits as directed by Community Engagement Manager
Assist the Community Engagement Manager and Leads with managing vendors
Assist Community Engagement Manager and Leads in organization and clerical duties:
Preparation of meetings, public events, tours, parent workshops, and informational meetings, field trips, and service learning projects
Assist Community Engagement Manager with Parent Ambassadors to meet goals and run events
Prepare fundraiser proposals for approval
Set up, advertise via social media and Parent Square, and track funds
Track funds and administer proper paperwork

Accountability and General Administration

Monitor Educational Units (EU) in OPS in accordance with school policies and protocols
Attend and participate in all required meetings, trainings, and school functions; Promote and participate in the creative exchange of ideas
Observe confidentiality
Return all correspondence, including phone calls and emails, in a timely manner; Be accessible during business hours and respond to administrative needs in inquiries
Generate, maintain, and submit money submissions with high level of accuracy
Maintain a positive and effective work environment
Treat all staff with respect, provide opportunities for participation in decision making, and be responsive to the human needs of staff members

Public Relations

Develop positive relationships with parents, students, vendors, and the public associated with the organization
Communicate with parents, community members, and outside agency personnel, as needed
Coordinate and publicize social events and fundraisers for students and families
Communicate with parents via email and Parent Square; Maintain and update Parent Square
Field parent calls/concerns regarding instruction and programs
Develop positive relationships with parents and public
Communicate and support the school’s mission, policies, and procedures
Represent Element Education and its programs in a positive and professional manner
Assist with maintaining a positive and effective work environment; Treat all staff with respect, provide opportunities for participation in decision making, and be responsive to the human needs of staff members
Assist in marketing the school
Create flyers, letters, spreadsheets, etc.

Professional and Organizational Development

Seek innovative approaches to self-directed learning and formal training
Practice reflective observation regularly; Maintain a growth mindset
In collaboration with the Home School Manager and School Director, plan for own career growth and ongoing professional development
Understand and contribute to the Organization’s vision, growth, and development
Other duties as assigned

Knowledge, Skills, & Abilities

Knowledge of digital libraries and online resources specifically related to education
Familiar with OPS
Ability to drive and maintain oversized vehicle
Previous office experience preferred
Previous experience working with students preferred
Familiarity and commitment to the mission and educational philosophy of Element Education
Ability to maintain records as directed by supervisor
Ability to maintain confidentiality regarding parents, families, and staff
Ability to remotely and/or virtually perform duties and attend meetings, as needed
Ability to exercise emotional maturity in communicating with students, parents, and colleagues
Demonstrate considerable knowledge of technology, Microsoft Office 365 and its’ applications, and DocuSign
Demonstrated ability to work under pressure, prioritize, multi-task, and meet deadlines
Ability to communicate clearly and concisely, both orally and in writing; Use appropriate language, tone, and English usage
Demonstrate good judgement
Ability to establish and maintain effective relationships; be approachable and professional
Ability to work independently with minimal supervision; be self-motivated and well-organized
Ability to think strategically and independently
Ability to accept responsibility and constructive criticism
Demonstrate willingness to help others and foster a cooperative and positive working environment

Requirements

High school diploma (or equivalent)
Reliable vehicle, valid driver’s license, and clean driving record

Upon Hire/Offer

First Aid/CPR/AED certification
Proof that employee is free of active tuberculosis (i.e. TB risk assessment, TB test, X-ray, etc.)
Successful background clearance

Work Schedule: 10 months; Part-Time

FLSA Classification: Non-exempt

*May require travel throughout San Diego County.

While performing the duties of this job, the employee is regularly required to stand, walk, and sit for an extended period of time. Sitting is done at a desk with forward bending from the waist, leaning on the forearms, and looking down which requires neck flexion. The employee is regularly required to read, speak, see, and hear well enough to communicate by telephone, electronically, and in person. Job duties are occasionally performed on electronic mobile and desktop devices. Employee must also regularly be able to write, file, type and operate a computer, telephone, and general office equipment. It is necessary to grasp and manipulate pens, markers, scissors, staplers, etc., either occasionally or frequently, depending on the day. May occasionally have to climb up stairs, stoop, kneel, and/or lift and carry up to 25 lbs. The employee is required to deal with irate members of the public and stressful situations.

The employee must have reliable transportation and be able to attend meetings at various Element Education regions.
