Job Summary

We are seeking a full-time non-exempt Administrative Assistant - Tier 2 with CONSTRUCTION INDUSTRY experience to join our team. The Administrative Assistant is responsible for coordinating and overseeing daily administrative operations to ensure efficiency, accuracy, and consistency across the team. This position requires a detail-oriented, task-driven professional who can organize multiple reports, manage documentation, and provide reliable support to project staff and leadership. Experience in operations or construction administration is a plus. This position requires that the candidate should be detail-oriented, highly organized, and proficient in Microsoft Excel and Office Suite to manage multiple reports and documentation needs.

Primary Job Duties

Serve as the lead point of contact for administrative support, overseeing office processes and providing guidance to other administrative staff.
Set up and maintain job folders, filing systems, and reporting procedures for consistency and accuracy.
Collect, compile, and update daily, weekly, and monthly reports (including safety logs, daily logs, subcontractor tickets, and expense reports).
Track project timelines and milestones, keeping schedules current and communicating updates to management.
Support subcontractor and vendor coordination by organizing purchase orders, invoices, and service-related documentation (fuel, restrooms, dumpsters, etc.).
Prepare meeting materials, take minutes, and distribute action items to ensure follow-up and accountability.
Manage travel arrangements, rental vehicles, and personnel credentialing as needed.
Submit and track expense reports, purchase requests, and service order requests (SORs).
Maintain office supplies, PPE inventory, and site-related administrative needs.
Assist with HR-related administrative tasks as required, ensuring confidentiality at all times.
Liaise with headquarters staff for reporting, compliance, and administrative coordination.
Ensure administrative processes align with company safety, quality, and compliance standards.
Perform other administrative tasks as assigned to support project and office needs.
Compile and manage reports using Excel spreadsheets, ensuring accuracy and consistency across data sources.
Prepare professional correspondence, reports, and presentations using Microsoft Word and PowerPoint.
Maintain calendars, schedules, and communication through Microsoft Outlook.

Skills & Qualifications

Minimum 7–10 years of administrative experience within the CONSTRUCTION INDUSTRY; prior lead or senior administrative role preferred.
Bachelor’s degree is preferred, or equivalent relevant experience.
Strong attention to detail and organizational skills.
Ability to manage multiple tasks and prioritize deadlines in a fast-paced environment.
Excellent written, verbal, and interpersonal communication skills.
Proficiency in Microsoft Excel and MS Office Suite.
Ability to compile and maintain accurate reports from multiple sources.
Discretion and ability to handle sensitive and confidential information.
Must be able to pass background check, motor vehicle check, and drug test.
Position may require an active passport and ability to travel.
Advanced proficiency in Microsoft Excel (formulas, data analysis, and reporting) and strong knowledge of Microsoft Office Suite (Word, Outlook, PowerPoint).
Ability to create, maintain, and analyze multiple reports using Excel and integrate findings into Word and PowerPoint presentations.
Must be resourceful, adaptable, problem solve while having a positive attitude.

Additional Requirements

Safety – Participate in and support company safety initiatives. PPE gear (steel toe boots, vest, and hard hat) may be required outside the office trailer.
Work Hours – May be asked to work day or night shift. During critical project phases, hours may extend up to 12 per day, 7 days a week, with reduced hours during steady-state operations.
Quality & Compliance – Adhere to company quality policies and maintain compliance with all operational, safety, and environmental requirements.
Must be authorized to work in the US.
Must be able to pass a background check, security clearance check, motor vehicle check and drug test.
Must possess a valid driver’s license and have a clean driving record.
Able to lift up to 20 lbs, sit in front of a computer desk, kneel, stoop, walk.
Bilingual a plus (Spanish / Creole).
Valid US Passport is suggested (not required).
