Overview
We are seeking a dynamic and organized Office Assistant to join our team and help streamline daily operations. This vital role ensures the smooth functioning of office activities, providing exceptional support to staff and visitors alike. The ideal candidate will be energetic, detail-oriented, and possess strong communication skills, with a passion for maintaining an efficient and welcoming office environment. Duties

Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette.
Operate multi-line phone systems efficiently, handling inquiries and routing calls accurately.
Perform data entry tasks using Microsoft Office, Google Workspace, and QuickBooks to maintain accurate records and financial documentation.
Support office management by organizing files, maintaining filing systems, and ensuring documents are proofread and properly stored.
Assist with calendar management and scheduling appointments for staff or medical/dental professionals as needed.
Provide customer support by addressing inquiries promptly and professionally, ensuring excellent service at all times.
Handle clerical duties such as filing, photocopying, proofreading correspondence, and managing office supplies inventory.
Support bookkeeping activities including basic data entry for invoices or expenses and tracking payments when necessary.
Contribute to office organization by coordinating personal assistant tasks, managing time effectively, and supporting team projects.

Qualifications

Proven experience in an office environment with strong clerical and administrative skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
Familiarity with QuickBooks or similar accounting software is highly desirable.
Excellent organizational skills with the ability to prioritize tasks efficiently.
Strong typing skills coupled with attention to detail for proofreading and data entry accuracy.
Exceptional customer service skills with professional phone etiquette and a friendly demeanor.
Bilingual abilities are a plus to assist diverse client needs.
Previous experience as a receptionist, medical or dental receptionist, or personal assistant is advantageous.
Knowledge of multi-line phone systems, calendar management, filing procedures, and office management best practices is preferred.
