Full Job Description

We are seeking a strong, organized, detail-oriented RCFE Administrative Overseer to support operations, compliance, care quality, accountability, and overall home readiness across multiple RCFE homes.

This is a hands-on operational leadership role for someone who can manage multiple moving parts, maintain high standards, follow through consistently, and help ensure homes remain compliant, resident-ready, and operating at a high level daily.

The ideal candidate is proactive, highly responsive, organized, professional under pressure, and comfortable addressing issues directly while maintaining professionalism, strong communication, and follow-through.

This role requires regular in-person home visits, urgency, attention to detail, strong documentation oversight, excellent communication, and the ability to consistently reinforce operational expectations across multiple homes.

PRIMARY RESPONSIBILITIES (LEVEL-10 STANDARD) Home Oversight & Operations

Provide operational oversight for 4–6 RCFE homes, ensuring regulatory compliance, safety, cleanliness, organization, and overall readiness.
Conduct frequent in-person home visits to assess:
resident care
cleanliness
professionalism
documentation
medication management
caregiver performance
overall operational condition.
Ensure homes remain:
resident-ready
family-ready
tour-ready
Licensing-ready at all times.
Support stationed RCFE administrators by providing structure, guidance, accountability follow-up, and operational support.
Step in to assist with administrative functions when homes are short-handed or during transitions to maintain operational continuity and compliance.
Verify that care practices align with Title-22 regulations and established operational standards.
Monitor professionalism, communication, presentation, and overall conduct within homes to help maintain a respectful and resident-centered environment.

Documentation & Compliance

Review and complete required documentation, including but not limited to:
admissions paperwork
LIC forms
MAR/TAR audits
incident reports
resident records
emergency documentation
compliance-related records.
Verify contractor documentation remains current and complete, including:
TB clearance
fingerprints
CPR/First Aid
training records
and other required documentation.
Conduct regular reviews of:
medication logs
emergency drills
safety checks
resident files
operational documentation
compliance tracking.
Ensure homes remain inspection-ready and prepared for Licensing visits at all times.
Assist with responses to:
complaints
TCs
citations
corrective action plans
compliance concerns.
Ensure required postings, notices, operational binders, and documentation remain accurate, complete, and visible in all homes.

Leadership, Accountability & Communication

Provide positive, proactive, respectful, clear, consistent, and supportive leadership to administrators and care providers across assigned homes.
Reinforce operational expectations, professionalism, urgency, communication standards, and Level-10 care expectations daily, including but not limited to addressing issues through coaching, guidance, and solution-focused communication.
Identify operational issues, care concerns, professionalism issues, documentation gaps, or follow-through failures and ensure they are addressed through proper channels.
Follow up consistently to ensure concerns are corrected and standards are maintained.
Coordinate with scheduling or coverage functions when service gaps or urgent situations arise.
Facilitate resolution of operational or interpersonal concerns professionally and escalate issues when appropriate.
Maintain ongoing communication with leadership regarding:
incidents
resident concerns
operational issues
Licensing concerns
follow-up needs
home performance trends.
Maintain a high level of responsiveness and follow-through regarding operational communication, urgent issues, and ongoing home needs.

Resident Care & Family Relations

Ensure residents receive compassionate, dignified, safe, and consistent care.
Oversee admissions workflows, pre-placement appraisals, resident assessments, and move-in coordination.
Respond promptly to:
incidents
emergencies
changes of condition
operational disruptions
family concerns.
Assist with stabilizing operational or care-related situations during emergencies, resident escalations, or unexpected events.
Communicate professionally, clearly, and promptly with family members regarding care-related matters and follow-up needs.
Verify care plans remain current and are being followed appropriately.

Reporting, Systems & Follow-Through

Complete daily, weekly, and monthly operational summaries and follow-up reports.
Track issues identified during home visits and ensure follow-through through resolution.
Track open operational items, deficiencies, and follow-up tasks to ensure timely completion and resolution.
Escalate serious incidents, compliance concerns, or operational risks immediately through appropriate leadership channels.
Monitor:
census
vacancies
move-ins
move-outs
operational transitions.
Support occupancy and placement coordination efforts when appropriate.
Maintain timely, professional, and consistent communication through operational platforms including Microsoft Teams, email, Trello, CRM systems, trackers, and other communication, reporting, or operational systems utilized by the organization.
Monitor communication channels regularly for:
operational updates
resident status changes
incidents
follow-up needs
documentation requests
scheduling or coverage concerns
and other operational matters as assigned.
Upload, organize, and maintain required operational documentation through designated systems, including but not limited to:
receipts
resident-related charges
incident documentation
compliance records
operational reports
and other required documentation as assigned.
Ensure updates, follow-through, and documentation are completed accurately and in a timely manner across assigned homes.

Continuous Improvement

Identify operational risks, inefficiencies, and recurring issues early and help implement solutions.
Reinforce professionalism, accountability, urgency, consistency, and strong communication standards across homes.
Promote unity, teamwork, professionalism, and a strong LEVEL-10 culture.
Support onboarding and integration of new homes, administrators, or operational transitions as needed.
Maintain a mindset focused on improvement, responsiveness, operational excellence, and follow-through.

Qualifications Strongly Preferred

1–2 years of experience in:
RCFE operations
assisted living
healthcare administration
compliance oversight
admissions
case management
or related operational leadership environments.

Additional Qualifications

Reliable transportation and the ability to travel regularly between assigned homes is required. A valid California driver’s license and proof of automobile insurance must be maintained.
Basic understanding of RCFE operations, Title-22 regulations, or healthcare environments is a plus.
