Full Job Description

Position Overview

We are seeking a highly organized, proactive, and people-oriented Administrative Assistant to join our team. This role is the hub of our daily office operations, providing exceptional administrative support while assisting our Human Resources, Finance, and Leadership teams.

The ideal candidate enjoys creating organized systems, delivering outstanding customer service, managing multiple priorities, and helping build a positive workplace culture. If you are detail-oriented, dependable, and enjoy supporting a team behind the scenes, we'd love to meet you.

Key ResponsibilitiesOffice Administration

Welcome visitors and create a professional first impression for guests and clients.
Answer and direct incoming phone calls.
Monitor building security systems and manage visitor access.
Receive, sort, and distribute incoming mail.
Coordinate outgoing mail, UPS/FedEx shipments, and postage needs.
Schedule document shredding services.
Order and maintain office, breakroom, and kitchen supplies.
Coordinate maintenance and service for office equipment.
Help maintain a clean, organized, and professional office environment.

Employee Support & Human Resources

Coordinate new hire onboarding and employee offboarding.
Conduct employment background checks.
Maintain employee records and confidential personnel files.
Assist with health insurance enrollment and annual open enrollment activities.
Manage 401(k) eligibility, enrollments, and employee changes.
Reconcile monthly employee insurance invoices.
Maintain OSHA logs and complete annual reporting requirements.
Report workers' compensation claims to the insurance carrier.
Track employee volunteer hours, anniversaries, milestones, and children's birthdays.
Manage employee recognition items, including gift cards and appreciation programs.
Coordinate employee apparel allowances.

Payroll & Finance Support

Process weekly payroll for review accurately and on time.
Prepare payroll reports and distribute direct deposit notifications.
Manage petty cash.
Process employee cell phone reimbursements.
Assist with administrative finance tasks as assigned.

Office Culture & Event Coordination

Coordinate company meetings and staff events.
Organize employee celebrations, appreciation activities, and office gatherings.
Support initiatives that promote a positive and engaging workplace culture.

QualificationsRequired

Minimum of 2 years of administrative, office management, or executive support experience.
Strong organizational and time management skills.
Ability to prioritize multiple projects while maintaining attention to detail.
Excellent verbal and written communication skills.
High level of professionalism and discretion when handling confidential information.
Proficiency with Microsoft Office (Word, Excel, Outlook, and PowerPoint).
