Full Job Description

Position Summary

Custom Collagen, Inc. is seeking a highly organized and detail-oriented Document Control Specialist to manage and maintain our Quality Management System (QMS) documentation in support of our food safety and quality programs. This position plays a critical role in ensuring all controlled documents remain accurate, current, and compliant with regulatory requirements and the Safe Quality Food (SQF) Code.

The ideal candidate will have experience in document control within a regulated manufacturing environment, possess a strong understanding of SQF requirements, and be comfortable working closely with multiple departments to maintain document integrity and audit readiness.

Essential Responsibilities

Maintain the company's document control system, ensuring all controlled documents are current, accurate, and properly distributed.
Create, revise, issue, archive, and obsolete controlled documents including:
Standard Operating Procedures (SOPs)
Work Instructions
Specifications
Forms
Policies
Quality Manual documents
Maintain document revision history and version control.
Ensure obsolete documents are removed from circulation and properly archived.
Coordinate document reviews and approvals with department managers.
Maintain training records and ensure employees receive updated documentation when revisions occur.
Assist with internal, customer, and third-party audits, including SQF certification audits.
Support corrective actions by updating documentation as required.
Assist in maintaining food safety and quality records in accordance with company retention policies.
Ensure documentation complies with FDA regulations, Good Manufacturing Practices (GMPs), and SQF requirements.
Work with Production, Quality Assurance, Maintenance, Purchasing, and Management to improve document accuracy and consistency.
Assist with continuous improvement initiatives involving document standardization and process improvements.

Minimum Qualifications

Minimum 3 years of Document Control experience in a regulated manufacturing environment.
Minimum 1 year of experience working within an SQF-certified facility.
SQF audit experience preferred.
High School Diploma or GED required; Associate's or Bachelor's degree preferred.
Proficient in Microsoft Office (Word, Excel, Outlook).
Excellent written and verbal communication skills.
Strong organizational and time management abilities.
Exceptional attention to detail.
Ability to manage multiple projects while meeting deadlines.

Preferred Qualifications

Experience within the food manufacturing industry.
Working knowledge of FDA Food Safety Modernization Act (FSMA) requirements.
Familiarity with Good Manufacturing Practices (GMPs).
Experience maintaining Quality Management Systems (QMS).
Experience with electronic document management systems (EDMS) is a plus.
Knowledge of record retention requirements and controlled document best practices.
