About Zayed Law:

Zayed Law is a prestigious personal injury law office with roots in the Chicago-Land area. Adam Zayed founded Zayed Law Offices in 2009 with the intention of re-writing the standard for personal injury representation. Adam has worked to represent his clients with conviction in court and compassion in the office. Zayed Law Offices has the goal of growing nation-wide and becoming a family trusted name in personal injury. Your role is an important part of realizing this dream and representing clients in a time when they are hurting and need support.

Position Overview:

The legal receptionist is responsible for day-to-day office functions. The receptionist serves as the catalyst between the public and Zayed Law Office staff, ensuring brand cohesion and support for both the community and the office employees.

Responsibilities:

Maintain a professional, courteous, and helpful attitude in all interactions.
Manage incoming office mail and packages, organizing, distributing, and filing upon arrival. Ensure prompt delivery to the appropriate recipients and create digital copies where applicable for electronic records.
Monitor office supply inventory levels, proactively reorder items as needed, and ensure essential materials are always stocked to support smooth day-to-day operations.
Ensure accurate and timely ordering of office working lunch.
Greet all visitors promptly and professionally to ensure a secure and welcoming environment.
Escort clients and visitors to conference rooms, maintaining Zayed reputation and professionalism. Offer refreshments as appropriate.
Coordinate and facilitate office celebrations such as Anniversaries, Birthdays, etc. including cards and lunch ordering.
Assist with the coordination, purchase, and delivery of thoughtful client care items such as welcome packages, flowers, thank-you gifts, or wellness-related deliveries.
Perform clerical tasks including copying, scanning, faxing, and other administrative support activities.
Maintain a tidy, organized reception area and conference rooms, always ensuring professional presentation.
Serve as a point of contact for vendors, maintenance personnel, and delivery services, ensuring seamless communication and coordination.
Maintain up to date office-wide documentation as staffing changes arise.
Assist in the development of long-term client support solutions, as directed.
Assist in the development of staff retention solutions, as directed.
Execute additional tasks and requests assigned by AJZ to support team and office operations.

Strong interpersonal skills to maintain professional relationships with clients, visitors, and colleagues.
Ability to multitask and prioritize tasks to ensure timely and accurate completion.
Proficient in managing office supplies, inventory, and orders to ensure smooth operations.
Detail-oriented in handling incoming mail, packages, and digital records.
Excellent communication skills for greeting visitors and coordinating office events.
Organized in maintaining a professional and tidy reception area and conference rooms.
Skilled in managing vendor relations and coordinating maintenance and deliveries.
Flexible and proactive, able to handle additional tasks as needed.

Education and/or Experience Required:

High School Diploma

1-year administrative experience preferred but not required

Spanish Preferred but not Required

Physical Demands of the Job:

While performing job duties, staff may be sitting for an extended period of time. Job responsibilities may also require occasional lifting up to 10 lbs. Frequent use of telephone and computer is required.

Benefits:

Health Insurance coverage is available 60 days after hire. New Employees receive Zayed Law Offices clothing after 2 weeks of employment. PTO, both vacation and sick days are available after 6 months of employment. Annual paid time off consists of 2 weeks of vacation, 2 days of sick leave and 4 flex hours.

Performance Standards & Review:

All Zayed Law Offices Employees complete a 90-day probationary period in their employment to ensure that they are in the right role and in compliance with the basic position requirements. All employees have an annual review in which their professional progress in the law office is monitored. Reviews are kept in HR files for the employees and are confidential.
