Full Job Description

Job Summary

Eagle Clinical Research is seeking an experienced, dependable and highly organized Clinical Research Assistant & Office Administrator to support clinical trial activities, patient care and the daily administrative operations of our research office.

The ideal candidate has previous experience supporting clinical trials at a dedicated clinical research site or within a medical office that conducts clinical trials. This position requires someone who can balance clinical research support and office administration in a fast-paced, detail-oriented environment.

Responsibilities

Clinical Trial Support

Assist Clinical Research Coordinators with daily study activities and patient visits.
Welcome study participants and complete patient intake.
Explain study procedures and respond to general participant questions.
Assist with patient recruitment, scheduling, reminder calls and follow-ups.
Enter patient and study information accurately into Electronic Data Capture (EDC) systems.
Build and maintain patient databases within the Clinical Trial Management System (CTMS).
Assist with study start-up activities and regulatory preparation.
Collect, review, file and archive clinical trial documentation.
Organize and distribute study materials, laboratory supplies and essential documents.
Assist with monitoring visits, site visits, investigator meetings and other study-related activities.
Communicate with sponsors, CROs, clinical staff and study participants as directed.
Support the clinical research team with additional study duties as assigned.

Patient and Clinical Support

Obtain and accurately document patient medical histories and vital signs.
Assist clinical staff with patient flow and study-related examinations.
Provide clear post-visit and follow-up instructions.
Collect and process specimens when properly trained and authorized.
Perform phlebotomy and EKGs when properly trained and qualified.
Administer injections or medications only when appropriately credentialed, trained and authorized.
Document clinical activities accurately and maintain patient confidentiality.

Medical Office Administration

Answer and direct telephone calls professionally.
Manage emails, patient communications and general office correspondence.
Maintain office calendars and schedule patient visits, meetings and conference rooms.
Support patient portal communication and follow-up activities.
Keep reception, clinical and shared office areas professional and organized.
Monitor inventory and order office, clinical, laboratory and refreshment supplies.
Maintain a clean, organized and fully stocked employee refreshment station.
Identify and communicate administrative, operational and supply needs.
Assist management and clinical staff with meeting preparation, document organization and general office operations.

Required Qualifications

Associates degree or equivalent required.
Previous experience supporting clinical trials at a dedicated clinical research clinic or within a medical office that conducts clinical trials.
Experience with EDC, CTMS or electronic medical record systems.
Knowledge of Good Clinical Practice and regulatory requirements
Familiarity with clinical trial workflows, patient scheduling and clinical research documentation.
Specimen processing, EKGs and obtaining vital signs.
Comfortable using computers for data entry, email, scheduling and document management.
Strong attention to detail and ability to maintain accurate records.
Excellent communication, organizational and interpersonal skills.
Professional and compassionate when interacting with patients.
Ability to manage multiple responsibilities in a fast-paced environment.
Ability to work independently and collaboratively with clinical and administrative staff.
Dependable, punctual and able to maintain patient confidentiality.
Ability to work onsite Monday through Friday.

Preferred Qualifications

Proficiency in phlebotomy,
Experience with patient recruitment and clinical trial scheduling
Medical Assistant certification or clinical training.
