Full Job Description

Job Summary

The Customer Service Representative serves as the primary point of contact for all customer interactions, managing incoming calls, emails, and service inquiries throughout the customer journey. This role provides exceptional customer support by answering all incoming calls, addressing customer questions, coordinating service requests, and ensuring seamless communication between customers and internal operations teams.

As the voice of Guardian Door Services, the Customer Service Representative delivers professional, responsive service while maintaining accurate customer records and facilitating smooth service delivery. This role requires excellent communication skills, problem-solving abilities, and a customer-first mindset to create positive experiences and build lasting customer relationships.

Essential Functions & Key Responsibilities

Customer Communication & Call Management

· Answer all incoming customer calls promptly and professionally

· Serve as the primary point of contact for customer inquiries, questions, and service requests

· Respond to customer emails, voicemails, and other communications within established timeframes

· Provide clear, accurate information about services, scheduling, and service status

· Handle customer concerns and complaints with empathy and professionalism

· Document all customer interactions thoroughly in CRM system

· Maintain professional communication standards across all customer touchpoints

Service Request Processing

· Receive and process customer service requests, work orders, and inquiries

· Gather complete information about customer needs, site requirements, and scheduling preferences

· Enter service requests accurately into ERP/Service management system

· Verify customer information, service history, and contract details

· Coordinate with operations team to schedule service appointments

· Confirm appointment details with customers and provide service expectations

· Create customer service files with all relevant details and special instructions

Customer Experience Management

· Proactively communicate service schedules, confirmations, and any changes to customers

· Conduct pre-service calls to confirm access, requirements, and customer readiness

· Provide status updates on service appointments, arrival windows, and completion

· Send post-service follow-up communications and satisfaction surveys

· Address customer questions about billing, invoices, and service reports

· Manage customer expectations and ensure alignment with service capabilities

· Resolve customer concerns and escalate complex issues when appropriate

Internal Coordination

· Coordinate with service dispatch team on scheduling and customer appointments

· Communicate customer requirements and special requests to field service teams

· Facilitate information flow between customers, sales, and operations

· Coordinate rescheduling requests and communicate changes to all parties

· Escalate service delivery issues or customer concerns to management when necessary

· Support collection efforts by confirming service completion with customers

· Participate in daily coordination meetings regarding customer appointments

Quality Assurance & Follow-up

· Follow up with customers after service completion to confirm satisfaction

· Track and monitor customer satisfaction metrics and feedback

· Coordinate warranty service and follow-up appointments

· Identify recurring customer concerns and communicate to management

· Contribute to customer experience improvement initiatives

· Maintain service quality standards in all customer interactions

Administrative Responsibilities

· Maintain accurate customer records and communication logs in CRM system

· Update customer information and service history

· Generate customer service reports as requested

· Process customer service documentation and maintain organized files

· Support invoicing and billing inquiries

· Assist with other administrative tasks as assigned

Supervisory Responsibility

This position does not have supervisory responsibilities.

Qualifications, Skills & Abilities

· High school diploma required; Associate's or Bachelor's degree preferred

· 3+ years of customer service experience, preferably in a call center or service-oriented environment

· Excellent phone communication skills with professional and friendly demeanor

· Strong ability to handle multiple customer calls and inquiries simultaneously

· Outstanding problem-solving skills and ability to remain calm under pressure

· Proficiency in CRM systems (NetSuite, Salesforce or equivalent) and Microsoft Office Suite

· Detail-oriented with excellent organizational and time management skills

· Ability to build rapport with customers and provide empathetic support

· Experience with service scheduling or coordination is a plus

· Typing proficiency and ability to accurately document customer interactions

Physical Demands/Work Environment

While performing the duties of this job, the individual is frequently required to move about inside the office to access filing cabinets, office machinery, etc. Constantly operates a computer and other standard office equipment such as copy machines, phones, photocopier, fax machines and computer printers. The staff member in this position frequently communicates internally and externally; must be able to exchange accurate information via phone, email, and/or in person. Specific vision abilities apply including close vision, distance vision, and ability to adjust focus.

This position operates in a clerical office setting. The noise level in the work environment is usually moderate.
