Full Job Description

NOVA Fire Protection and its sister company Systems Technology, is a Fire Sprinkler and Fire Life Safety contracting firm headquartered in Fargo, ND with branch offices in Bismarck, ND and Blaine, MN.

We are seeking a Scheduling & Administrative Coordinator.

Primary Duties include, but are not limited to:

Scheduling & Coordination

Schedule fire sprinkler inspections for Nova Fire Protection – Fargo Main Office.
Schedule fire sprinkler inspections for Nova Fire Protection – Minneapolis Office.
Schedule fire alarm, fire extinguisher, and emergency lighting inspections for Systems Technology.
Coordinate technician schedules to maximize efficiency and customer satisfaction.
Contact customers to schedule, confirm, and reschedule appointments as necessary.
Monitor inspection due dates to ensure timely completion and code compliance.
Maintain accurate scheduling records within the company software.

Administrative Support

Answer incoming customer phone calls for Nova Fire Protection – Minneapolis Office and direct inquiries appropriately.
Create and process work orders for inspections and service calls.
Assist in dispatching technicians for service calls related to Nova Fire Protection – Minneapolis Office.
Monitor open work orders and follow up to ensure timely completion related to Nova Fire Protection – Minneapolis Office.
Upload completed inspection reports and verify documentation is complete.
Prepare and process inspection billing in a timely manner.
Assist with customer deposits and payment processing.
Provide general administrative support to the Blaine office remotely.

Customer Service

Provide professional and courteous customer service at all times.
Respond promptly to customer scheduling requests and questions.
Communicate effectively with customers regarding appointment status and scheduling changes.
Build positive relationships with customers through timely and accurate communication.

Pay: $22.00 - $30.00 per hour
