Financial Operations Coordinator Job Overview

King County Restoration is seeking a Financial Operations Coordinator with experience in the restoration, construction, insurance, or project-based service industry. This role is best suited for someone who already understands the pace, documentation needs, and financial complexity of restoration projects.

This position plays a key role in tracking project finances, receivables, insurance payments, mortgage disbursements, client balances, payment plans, and job-level financial documentation. The ideal candidate will have direct experience working with mortgage companies, insurance proceeds, draw requests, inspection scheduling, and the documentation required to release funds.

The Financial Operations Coordinator will work closely with the Director of Financial Operations to keep project financial information accurate, organized, and actively monitored so that billing, collections, mortgage draws, and insurance payments move forward efficiently.

Key ResponsibilitiesReceivables & Payment Tracking

Track incoming insurance payments, mortgage disbursements, and client payments
Maintain accurate receivable tracking spreadsheets
Monitor open balances and client payment schedules
Track payment plan compliance and send reminders for scheduled payments
Assist with follow-up on outstanding invoices, delayed payments, and collections documentation

Mortgage & Insurance Coordination

Coordinate mortgage draw paperwork and loss draft documentation
Communicate with mortgage companies regarding required forms, inspections, and disbursement requirements
Schedule mortgage inspections when required
Track inspection status, draw releases, and funding delays
Assist with gathering and submitting documentation needed for mortgage and insurance disbursements
Maintain organized records of checks, endorsements, inspection reports, insurance scopes, contractor documents, and client authorizations

Job Financial Administration

Assist with job costing data entry and project financial tracking
Track job-level financial documentation, including estimates, invoices, change orders, supplements, and payment records
Maintain organized financial records for each active job
Compile documentation needed for billing, collections, mortgage draws, and internal review
Help ensure project financial files are complete, accurate, and easy to access

Documentation & Record Management

Organize invoices, estimates, payment records, mortgage documents, insurance correspondence, and financial project files
Maintain accurate and well-organized documentation across multiple active projects
Ensure financial records are complete and accessible for leadership, project managers, and internal review
Support consistent documentation standards across restoration and construction projects

Reporting Support

Prepare financial summaries for internal review
Maintain up-to-date receivables and project financial tracking reports
Assist leadership with visibility into outstanding balances, delayed payments, mortgage funding status, and collection priorities
Help identify accounts requiring follow-up or escalation

Qualifications

Experience in restoration, construction, insurance, mortgage servicing, or another project-based financial environment is strongly preferred
Mortgage draw, loss draft, insurance payment, or construction disbursement experience is highly preferred
Strong understanding of documentation-heavy financial processes
Comfortable working with spreadsheets, invoices, estimates, scopes, and project financial records
Strong organizational and administrative skills
High attention to detail and accuracy
Ability to manage multiple projects, deadlines, and moving parts at the same time
Strong written and verbal communication skills
Experience with receivables tracking, bookkeeping support, job costing, or project administration preferred

Ideal Candidate

The ideal candidate has worked in a restoration, construction, insurance, mortgage, or project-based financial role and understands how important documentation, follow-up, and accuracy are to getting funds released. This person is organized, persistent, detail-oriented, and comfortable tracking multiple jobs at once. They should be able to follow up with mortgage companies, clients, and internal team members while keeping financial records clean, current, and easy to review.

Pay: $60,000.00 - $70,000.00 per year
