Full Job Description

Company Overview
Ace Grease Service, Inc. is a family-owned business with over 31 years of experience in collecting and recycling used cooking oil and grease trap waste. We operate across nine states, providing environmentally responsible services to restaurants, hotels, hospitals, and large food manufacturing facilities, transforming raw materials into valuable products like biodiesel, plastics, and soaps.

Position Overview

We are seeking an experienced Full-Charge Bookkeeper to join our team at our headquarters in Millstadt, IL. This role is responsible for managing the day-to-day accounting operations for six primary companies and several subsidiaries. The ideal candidate is highly organized, detail-oriented, and able to multitask effectively in a fast-paced environment.

Key Responsibilities

Accounts Payable

Manage full-cycle accounts payable for six main companies and multiple subsidiaries
Process vendor invoices accurately and timely
Reconcile vendor statements and resolve discrepancies
Prepare and process check runs and electronic payments
Maintain strong vendor relationships

Payroll Administration

Process payroll for approximately 80 employees
Ensure compliance with federal, state, and local payroll regulations
Manage payroll tax filings and related reporting
Maintain employee payroll records and respond to payroll inquiries

General Accounting & Ledger Management

Maintain and reconcile general ledger accounts
Prepare journal entries and monthly financial reports
Perform bank and credit card reconciliations
Assist with month-end and year-end closing processes
Support external accountants and auditors as needed

File & Record Maintenance

Maintain accurate financial records and organized filing systems
Ensure documentation is complete and audit-ready
Uphold confidentiality and data security standards

Qualifications

Proven experience as a Full-Charge Bookkeeper
Strong accounts payable and payroll processing experience
Experience managing multiple entities or companies preferred
Proficiency in QuickBooks (preferred)
Solid understanding of GAAP and general accounting principles
Strong organizational and time-management skills
Ability to multitask and prioritize effectively in a fast-paced environment
High level of accuracy and attention to detail
Excellent communication and problem-solving skills
