Full Job Description

Patient Care Coordinator for Collindale Dental

About the Role

We are a locally owned, patient-focused dental practice seeking a warm and detail-oriented Patient Care Coordinator. You’ll be the face of our practice—helping patients feel informed and supported while keeping the financial side of their care running smoothly.

Key Responsibilities

Greet patients and serve as their primary point of contact; assist with scheduling and confirmations
Maintain accurate patient records (EHR); manage calls, correspondence, and referral coordination
Collect payments and post accurately in Open Dental; manage and reconcile daily deposits
Review treatment at checkout; explain fees, insurance estimates, and payment options clearly
Coordinate with insurance billing partners; sending bills and refunds as needed
Facilitating patient inquiries regarding billing, insurance and payment options
Present and sign patients up for Membership Plans; emailing notifying of auto-renewals
Ensure HIPAA compliance and maintain organized documentation and HIPAA and PCI compliance at all times

Qualifications Required

Excellent customer service; a people-person who loves making our patients' day better and is great a building rapport
Organized, detail-oriented, and accountable with strong follow-through
Confident and compassionate discussing finances, copays, and payment options with patients
Strong communication; comfortable in a fast-paced environment
Comfortable handling money and basic financial reconciliation
Positive, team-oriented attitude and commitment to patient confidentiality (HIPAA)

Preferred

Dental or medical office experience and familiarity with dental insurance/billing
Experience with Open Dental, Dental Intel, Microsoft Office, Google Workspace, or Slack
Quick learner who adapts easily to new software and technology

Physical Requirements & Work Environment

This role requires the ability to sit and stand for extended periods, use a computer and phone for prolonged periods, perform repetitive hand/wrist motions (typing, data entry), occasionally lift up to 20 lbs, and move throughout the office as needed.
