Full-Time | 30–40 hours/week | Mostly Monday–Friday (Weekend coverage as needed)

Position Summary

We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! This vibrant role is the heartbeat of our office, ensuring smooth daily operations, exceptional customer service, and efficient administrative support. The ideal candidate will be energetic, detail-oriented, and possess a passion for creating a welcoming environment while managing a variety of clerical tasks. Key Responsibilities

Warmly greet and assist residents, families, visitors, and vendors
Assist with resident and family communication needs, such as directing inquiries or helping with basic information requests
Answer and route incoming calls; manage messages and voicemail
Coordinate incoming and outgoing mail, packages, and deliveries
Maintain strict confidentiality regarding all resident health information and employee records, in accordance with HIPAA and facility policies
Maintain a clean, organized, and professional front desk and lobby area
Support administrative tasks including filing, scanning, scheduling, and data entry
Assist nursing and administrative staff with clerical needs
Monitor and maintain office supplies; submit requests when replenishment is needed
Provide weekend coverage when required

Qualifications

Proven experience in office administration or clerical roles with strong organizational skills.
Excellent computer literacy and technical proficiency to navigate various software applications efficiently.
Strong communication skills, both verbal and written, with the ability to handle phone communication professionally.
Bilingual abilities are highly desirable to serve diverse client needs effectively.
Experience with multi-line phone systems and front desk operations preferred.
Demonstrated ability to manage time effectively, prioritize tasks, and work independently in a fast-paced environment.
Previous experience in customer service or client communication roles enhances your fit for this position.
