Overview:

As the Custom Division Manager, you will oversee the comprehensive process of custom order management and international quoting. Your role entails meticulous coordination of various stages from order initiation to final delivery, ensuring timely execution and customer satisfaction. This position demands a blend of strategic decision-making, problem-solving, and effective communication to uphold operational excellence and profitability.

Responsibilities:

Manage the end-to-end custom order process, including order entry, art clarification, overseas order placement, sample production, accounting checks, production timelines, and shipment logistics.
Exercise discretion and judgment to resolve daily challenges and ensure accurate and punctual order fulfillment.
Negotiate costs with manufacturers and prices with customers to optimize profitability and enhance sales opportunities.
Spearhead custom quoting efforts, coordinating with international partners and supporting personnel to deliver compelling proposals.
Collaborate closely with sales teams and customers to address inquiries, clarify orders, and facilitate smooth transactions.
Maintain departmental profitability through budget management, cost analysis, and adherence to margin targets.
Uphold high standards of internal and external customer satisfaction in all aspects of custom order and quoting activities.

Authority:

You will operate autonomously, overseeing day-to-day operations and making decisions that align with customer needs and departmental objectives.

Goals:

Enhance customer acquisition and retention rates.
Increase quote closure rates and streamline processes for greater efficiency.
Maintain or reduce error rates while increasing overall sales revenue.
Sustain a minimum 35% margin to ensure profitability.

Financial Responsibilities:

You will be accountable for creating and managing the departmental budget, with a focus on maintaining profitability and fostering positive customer relationships. Errors or delays may result in direct and indirect costs, impacting profit margins and future business opportunities.

Key Contacts:

Sales representatives for quote clarification and customer relationship management
Customers for order clarification and communication throughout the process
International partners for quote requests and order coordination
Internal teams including graphic artists, purchasing, accounting, and production/shipping for seamless order execution.

Supervision:

You will directly supervise non-exempt clerical or office administrative personnel within the Custom Division.

Requirements:

Bachelor's Degree preferred
In-office position
Proficiency in Microsoft Excel
Demonstrated experience in personnel management and project/order management.
Strong analytical skills and good judgment
Professional demeanor with excellent communication skills
Proactive attitude with a willingness to embrace challenges and drive improvements.
Ability to work collaboratively in a team-oriented environment.
Aptitude for creative problem-solving and resourcefulness.

Working Conditions:

Office-based environment with standard office equipment.
Occasional lifting of boxes up to 40lbs.
Limited domestic and international travel may be required.
Flexible working hours with occasional weekend work as needed.
