Job Overview
We are seeking a dedicated and highly organized Medical Secretary to join our healthcare team. In this vital role, you will serve as the first point of contact for patients and healthcare providers, ensuring smooth communication and efficient administrative operations within the medical practice. Your energetic approach and attention to detail will help facilitate exceptional patient service, accurate documentation, and seamless clinic workflows. This position offers an exciting opportunity to contribute to quality healthcare delivery while honing your skills in medical administration and office management.

Responsibilities

Greet patients warmly, manage appointment scheduling, and coordinate patient check-ins using various EMR (Electronic Medical Records) systems such as Epic, Meditech, eClinicalWorks, Athenahealth, or similar platforms.
Verify insurance coverage, perform insurance eligibility checks, and handle insurance verification processes for Medicare, Medicaid, private insurers, and other payers.
Collect outstanding balances through medical billing procedures and assist with collection efforts related to unpaid accounts.
Maintain accurate and detailed medical records by reviewing documentation for completeness and compliance with HIPAA regulations.
Prepare and process medical documentation including CPT (Current Procedural Terminology) codes, ICD-9/ICD-10 codes, and ensure proper coding for billing purposes.
Manage front desk operations including multi-line phone systems, patient intake procedures, appointment reminders, and patient service inquiries with excellent phone etiquette.
Support clinical staff by managing care plans documentation, scheduling follow-up appointments, and coordinating patient flow within the clinic environment.
Utilize various office software such as Microsoft Office Suite to generate reports, update records, and handle correspondence efficiently.
Assist with filing medical records both electronically in EHR (Electronic Health Record) systems like Epic or Athenahealth and physically as needed.
Ensure compliance with HIPAA privacy standards during all aspects of documentation review and data handling.

Qualifications

Proven experience as a Medical Secretary or in a similar medical administrative support role within a clinical or hospital setting.
Strong knowledge of medical terminology, ICD (International Classification of Diseases) coding including ICD-9/ICD-10, CPT coding, and medical billing procedures.
Familiarity with EMR/EHR systems Ahena Health is highly preferred.
Excellent computer skills including proficiency in Microsoft Office applications and familiarity with office management software like Athena Health
Exceptional organizational skills with the ability to multitask efficiently in a fast-paced environment.
Outstanding communication skills—bilingual abilities are a plus—and a professional phone manner to provide excellent patient service.
Knowledge of insurance verification processes and Medicare/Medicaid billing requirements.
Ability to maintain confidentiality in accordance with HIPAA regulations while managing sensitive health information.
Prior clinic or dental office experience is highly desirable; familiarity with dental terminology or hospital experience is a bonus.
