Job Summary

We are seeking a dynamic and highly organized Executive Administrative Assistant to join our construction office team! This vital role offers the opportunity to support senior executive by ensuring smooth daily operations. The ideal candidate will bring enthusiasm, exceptional organizational skills, and a proactive attitude to help drive productivity and efficiency across the organization. Responsibilities

Manage executive calendars with precision, scheduling meetings, appointments, and travel arrangements efficiently.
Handle incoming calls using multi-line phone systems, directing inquiries professionally and courteously.
Prepare, proofread, and organize correspondence, reports, presentations, and other documents using Microsoft Office Suite and productivity software.
Maintain accurate records through data entry and spreadsheet management, ensuring confidentiality and data integrity.
Coordinate office operations including supply inventory, equipment maintenance, and vendor communications to ensure seamless workflow.
Serve as the front desk ambassador by greeting visitors, answering inquiries with excellent phone etiquette, and providing exceptional customer service.
Support special projects by conducting research, compiling data, and assisting with administrative tasks as needed.

Experience

Proven clerical experience with a strong background in construction office management and administrative support roles.
Demonstrated proficiency in Microsoft Office applications (Word, Excel, PowerPoint) along with excellent typing and proofreading skills.
Experience utilizing QuickBooks accounting software is highly desirable for managing financial records.
Experience with Procore, GC Pay and Textura is a plus.
Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
Bilingual abilities are a plus to facilitate communication with diverse clients and team members.
Excellent computer literacy including familiarity with spreadsheets, data entry procedures, and technical proficiency in office productivity tools.
