Full Job Description

Overview

We are a growing personal injury law firm dedicated to delivering exceptional client service and outstanding results for accident victims. We are seeking an experienced, highly organized Office Manager to serve as the operational backbone of our practice and support our team of attorneys and staff.

Position Overview
The Office Manager will oversee day-to-day office operations, supervise administrative and support staff, improve systems and workflows, and help ensure the firm runs efficiently so our legal team can focus on maximizing client recoveries. This is a hands-on leadership role ideal for someone with prior experience in a personal injury or plaintiff law firm environment.Key Responsibilities

Meet with client and conduct intakes
Oversee all daily office operations to ensure smooth and efficient functioning of the firm
Supervise, train, and manage administrative staff, receptionists, intake personnel, and other support team members
Assist with hiring, onboarding, performance management, coaching, and staff development
Monitor case progression and workflow to help keep cases moving efficiently
Develop, implement, and maintain standard operating procedures (SOPs) and office systems
Coordinate calendars, meetings, and internal communications
Ensure confidentiality, data security, and compliance with firm policies and applicable regulations
Handle conflict resolution and foster a positive, professional office culture
Assist ownership/leadership with special projects and operational improvements as needed

Qualifications

Minimum 3+ years of office management or operations experience (personal injury law firm experience required)
Prior supervisory or management experience
Strong understanding of law firm operations and personal injury case flow (preferred)
Excellent organizational, leadership, and problem-solving skills
Outstanding written and verbal communication abilities
Proficiency with Microsoft Office, GSuite and Filevine
Ability to multitask, prioritize, and thrive in a fast-paced environment
High level of professionalism, discretion, and attention to detail

Preferred Qualifications

Experience managing intake teams or case management staff
Familiarity with HR practices and employment compliance
Bilingual (Spanish) a plus
