Full Job Description

Business Office ManagerJob Summary

We are seeking an experienced Business Office Manager for our skilled nursing facility. The primary focus of this position is Medicaid Pending approvals, collections, accounts receivable aging, and making sure the facility receives full and timely payment for every resident.

The Business Office Manager will own the financial process. This includes verifying coverage for new admissions, completing Medicaid applications, obtaining required financial documents, tracking authorizations, billing the correct payer, collecting resident balances, and following through with every account.

Responsibilities

Manage Medicaid Pending accounts from the initial application through approval or final determination.
Assist residents and responsible parties with Colorado long-term care Medicaid applications.
Collect required financial documentation, including bank statements, income verification, property information, insurance policies, trusts, asset information, and other eligibility documents.
Maintain a Medicaid Pending tracker with application dates, missing documents, deadlines, follow-up activity, and approval status.
Follow up consistently with residents, families, county eligibility workers, case management agencies, hospitals, and other involved parties.
Respond promptly to requests for additional information and prevent applications from being delayed or denied because of missing paperwork.
Verify insurance coverage, benefits, skilled nursing days, deductibles, coinsurance, Medicaid eligibility, prior authorizations, and resident financial responsibility before admission.
Identify all available payment sources and ensure Medicare, Medicaid, managed care, commercial insurance, hospice, long-term care insurance, private pay, and other payers are billed correctly.
Confirm that admission agreements, financial agreements, payer forms, and responsible-party information are complete and signed.
Collect private-pay balances, Medicaid resident liability, patient payment amounts, copayments, coinsurance, and other amounts owed.
Review accounts receivable aging weekly and actively work all unpaid, underpaid, denied, and past-due accounts.
Prioritize Medicaid Pending balances and accounts over 30, 60, and 90 days old.
Correct billing errors, appeal denials, submit supporting documentation, and follow claims through final payment.
Maintain detailed collection notes and communicate financial risks to the Administrator and regional or home office billing team.
Manage daily census activity, including admissions, hospital leaves, room changes, payer changes, and bed holds.
Reconcile the census with nursing, admissions, medical records, and billing records.
Perform or assist with monthly electronic billing for Medicare, Medicaid, insurance, and private-pay accounts.
Manage resident trust accounts, statements, reconciliations, deposits, withdrawals, and final disbursements.
Prepare bank deposits, issue receipts, post payments, reconcile petty cash, and maintain accurate financial records.
Assist with accounts payable and payroll functions when assigned.
Attend required meetings, including daily stand-up, accounts receivable reviews, skilled-services meetings, and QAPI.
Maintain confidentiality and comply with HIPAA, payer requirements, facility policies, and all applicable regulations.
Communicate professionally with residents, families, employees, insurance companies, government agencies, and outside partners.
Provide a welcoming and professional presence in the facility’s front office.
Perform other related duties as assigned.

Qualifications

At least one year of experience in healthcare billing, accounts receivable, collections, Medicaid applications, or reimbursement
Skilled nursing or long-term care business office experience strongly preferred
Colorado long-term care Medicaid and Medicaid Pending experience strongly preferred
Knowledge of Medicare, Medicaid, managed care, private-pay, and insurance billing
Strong understanding of collections and accounts receivable aging
Excellent organization, follow-up, communication, and problem-solving skills
Ability to handle difficult financial conversations professionally
Ability to protect confidential resident, employee, and financial information

The ideal candidate is persistent, organized, and detail-oriented. Completing an application is only the first step. We need someone who will follow every account through approval, billing, collection, and final payment.

Pay: $65,000.00 - $75,000.00 per year
