Front Desk Receptionist – Medical Office Job Description

Position: Front Desk Receptionist
Department: Front Office
Reports To: Office Manager / Practice Manager
Employment Status: Full-Time / Part-Time

Position Summary

The Front Desk Receptionist is responsible for providing professional, friendly, and efficient service to patients while supporting the daily operations of the medical office. This position serves as the first point of contact for patients and is responsible for check-in, check-out, scheduling, insurance verification, patient communication, and maintaining accurate patient information.

Essential Duties and Responsibilities

Greet patients in a friendly, professional, and courteous manner.
Check patients in and out for appointments accurately and efficiently.
Verify patient demographics, insurance information, and identification.
Collect copays, deductibles, balances, and other applicable patient payments.
Request and maintain credit cards on file according to office policy and document appropriately in the patient's chart.
Schedule, reschedule, and cancel patient appointments.
Answer incoming telephone calls and direct calls to the appropriate department or staff member.
Take accurate messages and communicate them to physicians and staff in a timely manner.
Assist patients with questions regarding appointments, office procedures, and general information.
Maintain patient confidentiality and follow all HIPAA regulations and office policies.
Obtain and update patient forms, demographic information, insurance information, and other necessary documentation.
Assist with medical records, scanning, faxing, referrals, and other administrative duties as needed.
Communicate professionally with physicians, medical assistants, billing staff, patients, and outside facilities.
Assist with obtaining referrals, authorizations, and other required information when applicable.
Keep the front desk, waiting area, and work area organized and professional.
Monitor patient flow and communicate delays or concerns to patients appropriately.
Assist with end-of-day procedures and ensure all required paperwork and payments are completed.
Work cooperatively with other departments and assist where needed.
Follow all office procedures regarding patient safety, privacy, customer service, and financial collections.
Perform other duties as assigned by the Practice Manager or supervisor.

Qualifications

Previous medical office or front desk experience preferred.
Excellent customer service and communication skills.
Professional and courteous telephone manner.
Strong organizational and multitasking abilities.
Ability to work in a fast-paced medical office environment.
Basic computer skills and ability to learn electronic medical record (EMR) systems.
Knowledge of medical terminology and insurance procedures preferred.
Ability to maintain patient confidentiality and handle sensitive information appropriately.
Reliable, punctual, and dependable.
Ability to work effectively as part of a team.

Work Schedule

Monday–Friday: 7:45 AM – 4:20 PM
Saturdays: Rotating schedule, 8:00 AM – 12:00 PM
Saturday coverage is shared among front desk staff on a rotating basis.

Pay: $17.00 - $19.00 per hour
