Full Job Description

As a rapidly growing company, Gilman Heating, Cooling, and Plumbing relies on a dependable and detail-oriented team to maintain our high standards of service and performance. We are seeking a motivated and detail-oriented Accounting Administrative Assistant to join our team and support both our accounting and administrative operations. This position requires strong organizational skills, attention to detail, and a solid understanding of basic accounting principles.

Responsibilities

Receive, process, and maintain purchase orders, ensuring accurate documentation and coordination with vendors and internal departments.
Review customer invoices for accuracy
Follow up with customers regarding outstanding invoices and past-due balances to support timely payment collection.
Support Accounts Payable and Accounts Receivable functions, including invoice processing, payment application, and account reconciliations.
Prepare, submit, and track manufacturer parts warranty claims to ensure timely reimbursement and proper documentation.
Assist with resolving customer billing questions and invoice discrepancies by collaborating with operations, dispatch, and accounting.
Enter and maintain accurate financial and operational data within accounting and business management software.
Review company credit card transactions for accuracy and ensure receipts and supporting documentation are complete.
Organize and maintain electronic and physical financial records in accordance with company procedures.
Provide administrative support to the accounting and finance team, including month-end tasks and special projects as assigned.

Qualifications

High school diploma or equivalent
1–3 years of experience in an administrative or accounting support role
Excellent organizational and time management skills
Strong attention to detail and ability to manage multiple tasks effectively
Good written and verbal communication skills
Ability to maintain confidentiality and handle sensitive financial information
Proficiency in accounting software and Microsoft Excel
