Full Job Description

Reports To: Chief Operating Officer

The Quick Pitch

You’re the person everyone counts on to keep things running, and you’re ready for a role where that actually gets recognized. At the Arizona REALTORS®, you won’t be buried in a back office managing someone else’s inbox. You’ll be the operational backbone of a statewide organization, working directly with our CEO and COO to keep governance, events, and strategic initiatives moving forward.

This is a role with real visibility, real responsibility, and a front-row seat to how a respected professional association operates at the highest level.

What You’ll Actually Do

Think of this role in three buckets:

Keep the C-Suite on Track

Manage calendars, correspondence, and scheduling for the CEO and COO so they can focus on leading, not logistics.
Draft and finalize confidential documents, letters, and responses on their behalf.
Be the gatekeeper who knows when to handle it, when to redirect it, and when to escalate it.

Own the Governance Engine

Coordinate Board of Directors, Executive Committee, and other committee meetings from agenda to final minutes.
Maintain governance documents (Bylaws, Policy Manuals, Strategic Plans) and make sure the right people have the right versions at the right time.
Manage committee appointments, rosters, and group communications across the organization’s leadership structure.

Make Events Happen

Partner with the Events Director on governance-related events including the Installation Dinner, Spring and Fall Governance Meetings, the annual planning session, and Leadership Conference.
Collaborate with the Communications team to make sure events and governance updates are promoted on time and with the right frequency.

The Non-Negotiables (What We Need From You)

We’re not looking for a unicorn. We’re looking for someone who’s solid at these things:

✓ 3+ years of Executive Assistant experience supporting senior leaders.

✓ Strong writing and proofreading skills. You catch the typo before the CEO sees it.

✓ Proficiency in Microsoft Office, Adobe, Canva, and comfort navigating database, project management, and event registration platforms.

✓ Organizational skills that border on supernatural. You manage multiple priorities without dropping balls.

✓ Discretion and integrity. You’ll handle confidential information regularly, and trust is everything.

✓ People skills that work across departments, leadership levels, and personalities.
