Full Job Description

Genesee Community Charter Schools (GCCS)

Genesee Community Charter Schools are public charter schools in Rochester, New York educating more than 400 students in kindergarten through sixth grade across two Rochester campuses. The RMSC campus is authorized by the New York State Board of Regents, and the Flour City campus is authorized by the SUNY Charter Schools Institute. Our mission centers intellectual rigor, community responsibility, and respect for diversity. Both schools use a place-based, locally grounded curriculum that draws on the cultural and natural resources of our community.

JOB DESCRIPTION SUMMARY:

The Administrative Assistant to the Executive Director provides comprehensive administrative support to the Executive Director and the school's leadership team. This role serves as a critical link between the Executive Director, school staff, the board of directors, and families. The successful candidate will manage calendars, coordinate meetings and events, handle sensitive correspondence, and support strategic initiatives across the school's two campuses.

POSITION TITLE: Administrative Assistant

REPORTS TO: Executive Director

STATUS: Full Time, 12 months

WORK SITE: 7:15 a.m. – 3:15 p.m., Monday, Tuesday, Thursday, Friday

8:15 a.m-4:15 p.m. on Wednesdays

COMPENSATION:

The salary for this position ranges from $35,000 to $50,000. The actual starting pay will be determined by various factors, including but not limited to your full-time teaching experience, educational qualifications, certifications, prior service at GCC Schools, and other relevant considerations.

QUALIFICATIONS:

High School Diploma required; Associate's Degree or Bachelor's Degree preferred
3+ years of administrative experience supporting an executive or senior leader preferred
Ability to collaborate, work flexibly, and demonstrate initiative
NYS Fingerprint Clearance

KNOWLEDGE, SKILLS & ABILITIES:

Demonstrated ability to work collaboratively with diverse stakeholders
Excellent verbal and written communication skills with attention to detail
Strong organizational skills and ability to manage multiple priorities effectively
Proficiency with Microsoft Office and Google Suite applications
Ability to maintain confidentiality and handle sensitive information professionally
Excellent customer service and interpersonal skills
Problem-solving abilities and initiative in completing assigned tasks
Ability to show care and compassion for others

ESSENTIAL RESPONSIBILITIES

Manage the Executive Director's calendar, coordinate meetings, and schedule appointments.
Prepare meeting agendas, take minutes, and distribute materials for executive team, board, and leadership meetings.
Handle sensitive and confidential executive correspondence, including emails, letters, and official documents.
Support grant applications, fundraising initiatives, and special projects as directed by the Executive Director.
Coordinate major events, including board meetings, professional development sessions, and school-wide celebrations.
Manage travel arrangements and expense reports for the Executive Director.
Maintain confidential files and records related to executive functions and board operations.
Serve as a primary point of contact for external partners, funders, and community members seeking to connect with the Executive Director
Prepare executive reports, presentations, and briefing documents
Support two-campus coordination and communication initiatives
Assist with board communications, including agenda materials and follow-up documentation
Adhere to GCCS policies and procedures as outlined in the Staff Handbook, staff bulletins, and other documents
Accomplish all other duties and tasks as appropriately assigned or requested by the Executive Director

Note: Work hours may overlap the school day, including before and after school. Special events or projects may take place during early evenings or on weekends.
