Overview

Delavic PSC is an engineering and technical services firm established in Puerto Rico since 2006. We are seeking an Operations & Administrative Coordinator to support internal office operations, manage digital workflows, prepare proposals, coordinate tasks, and maintain company records. This role requires a highly organized, detail‑oriented professional with strong administrative, technical, and analytical skills who can ensure smooth day‑to‑day operations and support the management team.

The hourly rate for this position ranges from $16 to $22 and will be determined based on the candidate’s administrative experience, technical skills, proficiency in MS Office and QuickBooks, and overall qualifications. Compensation is evaluated individually to ensure alignment with the candidate’s professional background and the operational requirements of the role.

Key Responsibilities:

Manage tasks, projects, and workflows using Teamwork.
Prepare proposals, quotes, and administrative documents for clients and internal operations.
Coordinate office activities, schedules, follow‑ups, and task assignments.
Draft reports, letters, and documentation using Microsoft Office (Word, Excel, PowerPoint).
Maintain and update company records, licenses, insurance documents, subcontractor files, registrations, and compliance requirements.
Assist with onboarding and tracking of subcontractors, vendors, and training records.
Support procurement, renewals, and administrative compliance processes.
Perform advanced data management, reporting, and analysis using Excel (pivot tables, formulas, dashboards).
Utilize AI tools to improve efficiency in drafting, reporting, and data processing.
Manage financial entries, vendor records, and basic accounting tasks using QuickBooks.
Provide general office support and assist management with operational tasks as needed.

Education

Associate Degree or Bachelor’s Degree in Business Administration, Accounting, Office Systems, or related field (required or strongly preferred).

Experience

2+ years of experience in administrative support, office coordination, or back‑office operations.
Experience with project management platforms (Teamwork, Asana, Monday, etc.) preferred.

Skills

Strong organizational skills and ability to manage multiple tasks simultaneously.
Advanced proficiency in Microsoft Excel (pivot tables, VLOOKUP, formulas, data analysis).
Proficiency in QuickBooks for basic accounting and financial record management.
Strong proficiency in Microsoft Office Suite.
Ability to draft professional reports, proposals, and correspondence.
Experience managing records, licenses, insurance, compliance documents, and subcontractor files.
Familiarity with AI tools for productivity (preferred).
Excellent communication skills in English and Spanish.
Strong attention to detail and ability to work independently.
