Full Job Description

The essential duties and responsibilities of the Payroll Specialist consist of, but are not limited to, the following. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions:

a) Payroll:

i) Review, verify and gather field timecards.

ii) Enter weekly payroll into accounting system.

iii) Compile and track all wage garnishments as required.

iv) Set-up and manage field employees in accounting system.

v) Run Labor Hour and Job Cost reports for Project Managers and Executives.

vi) Complete and file all OCIP, CCIP or certified payroll documents in project specific formats as required.

vii) Compile weekly manpower reports for Executives.

viii) Set up and maintain payroll relevant electronic and hard files per job.

b) Job Cost:

i) Coordinate payroll progress percentages to the Project Administrator for any updates into the accounting system.

ii) Review job cost report for payroll accuracy including reconciliation to the change order report by status and the contract audit detail values.

c) Project Correspondence:

i) Obtain drafted correspondence from the Payroll Supervisor or Controller. Ensure the format, grammar and structure are professional and meet company business writing standards.

d) Job Closeout:

i) Prepare General Contractor required close-out documentation when retention is billed (i.e., certified payroll, union status letters, etc.) and submit to Project Administrator.

e) Other Duties:

i) Provide data entry support, as needed.

ii) Obtain insurance certificates, notice to owner paperwork, OCIP and certified payroll files, etc. from accounting to file with contract file when archiving.

iii) Assist Project Administrator and other Accounting departments as required.

iv) Attend seminars/educational training programs as required.

v) Perform any other related or unrelated, unassigned, unspecified duty that may be needed from time to time.

f) Supervisory:

i) This position does not have supervisory responsibilities but does act as a mentor and coach to others in department.

g) Meetings:

i) Attend Accounting Department meetings, as scheduled.

ii) Participate in office staff meetings, as scheduled.

iii) Attend annual company meeting.

h) Education: High school diploma. Associate or bachelor’s degree in business administration preferred.

i) Experience: Required 3 years related payroll experience. Payroll experience in highly construction preferred.

j) Skills: Good typing and 10-key skills. Proven ability to write, fix, edit and enrich grammar, format and structure of professional correspondence. Ability to multitask and communicate effectively. High attention to detail, aptitude for learning new things and must be able to work under pressure.

k) Physical: Includes sitting, standing, reaching, walking; use of hands, arms, legs, and feet. Must be able to see and hear (with mechanical assistance if necessary) sufficient to understand and comprehend individual one-on-one conversations.

l) Communication: Must be able to read, write and speak English fluently. Ability to communicate effectively and positively with customers, vendors and employees. Bilingual with conversational Spanish highly preferred.

m) Computer: Proficient with MS Office (Word, Excel, Outlook). Plexxis accounting software experience preferred.
