Full Job Description

**Property Manager / Executive Assistant**

We are seeking a highly organized, detail-oriented **Property Manager / Executive Assistant** to oversee commercial properties while providing executive-level administrative support. This position is ideal for a self-motivated professional who thrives in a fast-paced environment, can manage multiple priorities, and is comfortable working independently while collaborating with tenants, vendors, accountants, and ownership.

**Primary Responsibilities:**

* Manage the day-to-day operations of commercial properties.

* Oversee all property financials, including bookkeeping, accounts payable/receivable, rent collection, and financial recordkeeping.

* Work closely with the company's accountant to prepare financial reports and ensure accurate record maintenance.

* Coordinate and dispatch maintenance requests, communicate with vendors, and monitor projects through completion.

* Build and maintain positive relationships with tenants, contractors, and service providers.

* Provide executive administrative support, including managing calendars, scheduling meetings, preparing correspondence, organizing documents, and handling confidential information.

* Answer and direct incoming telephone calls.

* Assist with filing, document management, and general office organization.

* Provide reception coverage as needed and support other administrative office functions.

**Qualifications:**

* Minimum of two years of experience in property management, bookkeeping, finance, executive assistance, or administrative management preferred.

* Strong bookkeeping skills are essential, as bookkeeping is the primary function of this position.

* Proficiency in QuickBooks is required, or comparable experience with accounting software.

* Excellent organizational, communication, and problem-solving skills.

* Ability to prioritize tasks, manage multiple deadlines, and work independently with minimal supervision.

* Professional demeanor with the ability to maintain confidentiality.

* Strong computer skills, including Microsoft Office (Word, Excel, Outlook).

The successful candidate will be dependable, proactive, and capable of anticipating needs while maintaining the highest level of professionalism.
