JOB OUTLINE
The Assistant Service Manager supports the Service Manager in overseeing the daily operations of the service department at the Eagle Power Kubota Pennington, NJ location. This role ensures exceptional customer service, efficient technician workflow, and high-quality repair and maintenance of Kubota equipment, while serving as a technically knowledgeable point of contact for customers and technicians on more complex service matters.
The Assistant Service Manager coordinates technicians, communicates with customers, manages work orders from initial request through invoicing, maintains warranty documentation, and helps maintain a safe, organized, and productive service department. This position exercises independent judgment and decision-making authority in the absence of the Service Manager.
ESSENTIAL DUTIES
Service Department Operations
▸ Assists in managing the daily operations of the service department, supporting the Service Manager and serving as the primary point of contact in their absence.
▸ Schedules and coordinates repair and maintenance work for Kubota equipment, balancing workloads and priorities across the shop.
▸ Assists in scheduling, dispatching, and monitoring shop and field technician workloads to ensure efficient coverage and timely response to service needs.
▸ Supports technicians by assigning work and monitoring productivity, and helps train and mentor service technicians and support staff.
Customer Service & Technical Support
▸ Provides excellent customer service by explaining repairs, estimates, and service timelines in clear, professional terms.
▸ Provides front-line technical support for technicians and customers, including diagnostic guidance, repair recommendations, and troubleshooting assistance on Kubota and related equipment.
▸ Resolves customer concerns and de-escalates dissatisfied or high-tension situations quickly and professionally.
Work Orders, Warranty & Documentation
▸ Prepares, reviews, and closes repair orders accurately, including generating and reviewing job estimates, repair quotes, invoices, and warranty documentation.
▸ Manages the work order cycle — opening, processing, and closing work orders from initial request through invoicing.
▸ Inputs and reviews technician labor, parts, and outside purchase costs into work orders accurately and in a timely manner.
▸ Maintains warranty documentation and processes warranty claims according to Kubota guidelines, ensuring timely submission for maximum credit.
▸ Maintains accurate service records, parts usage logs, and technician time documentation.
Parts, Inventory & Safety
▸ Ensures parts are ordered and available for scheduled repairs, coordinating closely with the Parts department.
▸ Assists with inventory control and shop organization.
▸ Monitors service quality and ensures repairs meet manufacturer standards.
▸ Enforces workplace safety policies and dealership procedures, leading by example in professionalism, conduct, and appearance.
▸ Maintains current knowledge of Kubota equipment products and competing equipment manufacturers and OEM brands relevant to the service department.
▸ Performs all other duties as assigned by the Service Manager.
GENERAL REQUIREMENTS

SPECIFIC REQUIREMENTS
▸ Knowledge of diesel engines, hydraulics, electrical systems, and diagnostic tools used in Kubota and other agricultural or construction equipment.
▸ Knowledge of Kubota equipment and dealership operations preferred.
▸ Ability to provide meaningful technical guidance to both customers and technicians, translating complex repair findings into clear, actionable communication.
▸ Proficiency in managing service work orders from initiation through invoicing, including accurate entry of labor, parts, and outside costs.
▸ Familiarity with warranty administration and submission requirements within manufacturer-defined timeframes.
▸ Experience with service management software and Microsoft Office; competency with ERP systems and dealer portals.
▸ Ability to multitask, prioritize, and work in a fast-paced environment, managing multiple open work orders and administrative tasks simultaneously.
▸ Strong leadership, organizational, and problem-solving abilities.
▸ Ability to work effectively with customers, technicians, and parts personnel.
▸ Valid driver's license required.
QUALIFICATIONS
▸ High School Diploma or GED required; technical or agricultural equipment training preferred.
▸ 2–5 years of experience in equipment, agricultural, or diesel service operations required.
▸ Previous experience in a service, technical, or service leadership role preferred.
▸ Knowledge of Kubota equipment and dealership operations preferred.
▸ Strong leadership, communication, and customer service skills.
PHYSICAL REQUIREMENTS
▸ Ability to sit for extended periods while managing work orders and performing administrative duties.
▸ Ability to move throughout the service facility as needed to coordinate with technicians, inspect equipment, and support shop operations.
▸ Occasional lifting, carrying, or moving of items up to 50 pounds.
▸ Adequate vision and hearing to review documentation, inspect equipment, and communicate effectively.
▸ Manual dexterity sufficient to operate computers, phones, diagnostic equipment, and office tools.
WORK ENVIRONMENT
This position is performed in a combination of service department office and shop floor environments at the Pennington, NJ location, with regular movement between the two. The work environment includes exposure to noise, dust, machinery, diesel exhaust, and varying temperatures typical of an equipment service facility.
