Full Job Description

Overview

The Facilities Manager is responsible for the oversight, maintenance, safety, and operational readiness of Retina Associates of Cleveland's 13 outpatient locations throughout Northeast Ohio. This position ensures that each office provides a safe, professional, and reliable environment for patients, physicians, and staff while supporting uninterrupted clinical operations.

The Facilities Manager oversees one Facilities Technician and manages all aspects of facility operations, including preventive maintenance, vendor relationships, service contracts, capital improvements, leased and owned properties, and facility-related budgets. This role combines strategic planning with hands-on problem solving and minor maintenance repairs to support the organization's mission of delivering exceptional patient care.

Essential Responsibilities

Facility Operations

Oversee the maintenance and daily operation of 13 outpatient ophthalmology practice locations across Northeast Ohio.
Develop and manage preventive maintenance programs for all building systems and facility assets.
Perform minor maintenance repairs and troubleshooting as appropriate while coordinating larger repairs with qualified contractors.
Ensure all offices remain clean, safe, functional, and aesthetically maintained for patients and staff.
Respond promptly to facility emergencies and operational issues to minimize disruptions to patient care.
Coordinate office openings, relocations, renovations, and space reconfigurations as needed.

Vendor & Contract Management

Manage relationships and contracts for HVAC, electrical, plumbing, janitorial, landscaping, snow removal, pest control, waste management, security, and other facility service providers.
Obtain competitive bids, negotiate pricing, and monitor vendor performance.
Ensure vendors meet insurance, licensing, and company compliance requirements.
Maintain service agreements, warranties, and maintenance records.

Property & Lease Management

Oversee maintenance responsibilities for both leased and owned facilities.
Serve as the primary liaison with landlords regarding maintenance issues, tenant improvements, and lease-related facility obligations.
Coordinate building inspections, repairs, and landlord responsibilities while ensuring timely resolution of issues.
Support long-term facility planning and capital improvement initiatives.

Team Leadership

Supervise, mentor, and develop the Facilities Technician.
Prioritize daily work assignments and preventive maintenance schedules.
Foster a customer-service mindset that emphasizes responsiveness to physicians, clinical staff, and administrative teams.

Clinical Environment Support

Maintain facility infrastructure that supports the offices, including exam rooms, diagnostic imaging areas, laser procedure rooms, waiting areas, administrative offices, and employee workspaces.
Coordinate utilities and building systems to ensure consistent environmental conditions that support sensitive diagnostic and imaging equipment.
Work collaboratively with clinical leadership to minimize disruptions during repairs, maintenance, and facility projects.

Compliance & Safety

Ensure compliance with OSHA standards, fire and life safety regulations, local building codes, and applicable healthcare facility requirements.
Coordinate required inspections, testing, and preventive maintenance for life safety systems.
Maintain accurate documentation for inspections, maintenance activities, permits, and vendor certifications.
Support emergency preparedness planning and business continuity efforts for all locations.

Capital Projects & Budget Management

Plan and oversee facility renovation and improvement projects from planning through completion.
Develop and manage the annual facilities operating budget.
Monitor maintenance expenditures and identify opportunities for cost savings and operational efficiencies.
Prepare capital improvement recommendations based on facility assessments and organizational growth.

Customer Service

Build strong working relationships with physicians, managers, and staff across all locations.
Ensure maintenance requests are addressed promptly and communicated effectively.
Promote a professional, welcoming environment that reflects Retina Associates of Cleveland's commitment to outstanding patient care.

Qualifications

Education

Bachelor's degree in Facilities Management, Construction Management, Engineering, Business Administration, or a related field preferred.
Equivalent combination of education and relevant experience will be considered.

Experience

Five or more years of progressive facilities management experience.
Experience managing multiple facilities across multiple geographic locations.
Healthcare or medical office experience strongly preferred.
Experience supervising maintenance personnel.
Demonstrated experience managing vendors, contracts, preventive maintenance programs, and facility improvement projects.

Knowledge, Skills & Abilities

Strong working knowledge of commercial building systems, including HVAC, electrical, plumbing, lighting, fire protection, and building automation systems.
Ability to perform basic maintenance and repair work while recognizing when specialized contractors are required.
Strong contract negotiation and vendor management skills.
Excellent project management and organizational abilities.
Ability to prioritize competing demands across multiple locations.
Strong communication and interpersonal skills with a customer-focused approach.
Proficiency with Microsoft Office; experience with computerized maintenance management systems (CMMS) is preferred.
Valid Ohio driver's license and reliable transportation with the ability to travel regularly between practice locations throughout Northeast Ohio.

Physical Requirements

Frequent travel between practice locations.
Ability to lift up to 50 pounds.
Ability to climb ladders, inspect mechanical spaces, and perform minor maintenance repairs.
Ability to stand, walk, bend, kneel, and reach for extended periods.

Work Environment

This position works in professional outpatient medical offices with frequent travel between locations throughout Northeast Ohio. Occasional after-hours availability is required to respond to urgent facility issues or support planned maintenance activities outside normal business hours.
