Job Summary

We are seeking an energetic and organized Front Desk Receptionist to be the welcoming face of our office. This vital role involves managing front desk operations, providing exceptional customer service, and ensuring smooth administrative workflows. The ideal candidate will possess strong communication skills, technical proficiency, and a proactive attitude to support daily office functions and enhance client experiences. Duties

Greet visitors, clients, and vendors with professionalism and warmth, creating a positive first impression
Manage multi-line phone systems, directing calls efficiently and courteously
Handle incoming correspondence, including emails and mail, with accuracy and promptness
Maintain appointment calendars, schedule meetings, and coordinate office events
Perform data entry tasks using spreadsheets and productivity software to support administrative needs
Organize filing systems and manage document storage for easy retrieval
Assist with office management duties such as supply inventory, photocopying, and proofreading documents
Provide excellent customer support by addressing inquiries promptly and professionally
Support team members with clerical tasks including word processing, typing, and calendar management

Requirements

Proven experience in office management or administrative roles with strong clerical skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry
Excellent computer literacy with the ability to adapt to various productivity software tools
Strong organizational skills with keen attention to detail and accuracy in proofreading and data management
Exceptional phone etiquette skills with experience managing multi-line phone systems
Bilingual abilities are a plus for effective client communication in diverse environments
Prior experience using QuickBooks or similar accounting software is advantageous
Demonstrated ability to handle multiple tasks efficiently while maintaining professionalism
Excellent time management skills to prioritize responsibilities effectively
Personal assistant or front desk experience preferred but not required; a proactive attitude is essential
