Full Job Description

Position Overview

The Clinical Practice Administrator oversees daily operations of a busy multi-site OB/GYN practice, ensuring efficient clinic flow, excellent patient experience, and compliance with all clinical, regulatory, and billing standards. This position oversees a management team to carry out the daily operations and works with identified key stakeholders to drive the growth and development of OB GYN services.

Key Responsibilities:

1. Operations & Clinic Management

Work with practice management team to oversee and direct the day-to-day operations of OB/GYN clinics, including front desk, medical assistants, sonographers, triage nurses, and support staff.
Maintain and update OB-specific workflows in partnership with practice leadership (e.g., prenatal intake, labs, anatomy scans, glucose tests, NSTs, BPPs).
Lead and coordinate monthly staff and (every-other month physician meetings) with robust agenda and key steak holder invites and participation.
Work effectively and efficiently with hospital and corporate leadership on key practice initiatives.

2. Staff Management & Leadership

In conjunction with management team, hire, train, supervise, and evaluate front-office, medical assistant, triage, and ultrasound staff;
Work with practice leadership and key stakeholders on recruitment of new physicians and staff along with timely and accurate on-boarding.
Work with practice leadership to ensure effective staff scheduling, coverage for call-outs, and workflow assignments.
Conduct performance reviews and ensure ongoing staff competency.
Foster a positive, team-oriented culture that supports compassionate women’s healthcare.

3. OB Operations & Patient Experience

Work with management team to oversee prenatal scheduling templates to ensure appropriate timing of OB visits, ultrasounds, and testing.
Manage OB patient communication systems, including appointment reminders, patient portal messages, and triage escalation.
Ensure that patient education materials (OB packets, trimester instructions, pregnancy warning signs) are up to date.
Address patient concerns, complaints, and feedback promptly and professionally.

4. Revenue Cycle & Financial Oversight

Coordinate and liaison with clinicians and key stakeholders to ensure accurate charge capture for ultrasounds, NSTs, BPPs, in-office procedures, and global obstetric billing.
Work with billing staff and corporate finance and operations to oversee OB billing workflows, postpartum claim submissions, and exceptions.
Establish a meeting and reporting cadence with billing staff and key corporate stakeholders.
Review AR reports, denials, and weekly financial KPI dashboards with billing staff.
Assist with budgeting, expense tracking, and cost-efficiency strategies.

5. Compliance, Risk Management & Quality

Ensure staff compliance with HIPAA, OSHA, CLIA, and all women’s-health–related clinical protocols.
Work with clinical teams to maintain instrument sterilization logs and infection control standards.
Oversee provider credentialing, hospital privileging, CME tracking, and payer enrollments.

6. Provider Support

Manage complex OB provider schedules, including call rotations, surgeries, L&D block time, and urgent add-ons.
Coordinate communication between providers, hospitals, surgery centers, and labs.
Assist with EMR optimization specific to OB templates, GYN procedure documentation, and ultrasound reporting.

Qualifications

Bachelor’s degree in Healthcare Administration, Business, or related field preferred.
3+ years of medical practice management experience; OB/GYN experience strongly preferred.
Clinical background as a nurse or sonographer preferred.
Strong understanding of OB/GYN terminology, procedures, and prenatal care workflows.
Experience with medical billing and revenue cycle management. Proficiency with EMR/EHR systems and Microsoft Office tools.

Pay: $95,000.00 - $105,000.00 per year
