Overview
We are seeking an energetic and detail-oriented Front Office Administrator to join our vibrant team. In this vital role, you will be the welcoming face of our academy, managing daily administrative tasks, ensuring smooth office operations, and providing exceptional support to staff, families, and visitors. Your organizational skills and positive attitude will help create a warm and efficient environment where children thrive and families feel valued.

Duties

Greet visitors, parents, staff, and vendors with professionalism and warmth, creating a friendly first impression
Manage multi-line phone systems to handle inquiries efficiently and direct calls appropriately
Maintain accurate records through data entry, filing, and managing confidential information with discretion
Oversee appointment scheduling and calendar management for staff and administrative activities
Handle office management tasks including supply inventory, mail distribution, and general clerical support
Assist with customer service by addressing parent questions, resolving concerns, and providing support with a positive attitude

Requirements

Proven office management or administrative experience in a fast-paced environment
Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and computer literacy
Excellent organizational skills with the ability to prioritize tasks effectively
Experience with data entry, filing systems, and handling confidential information securely
Exceptional customer service skills combined with professional phone etiquette on multi-line phone systems
Bilingual abilities are a plus to better serve our diverse community
Previous experience in clerical work or personal assistant roles is preferred
Ability to manage time efficiently while multitasking in a busy office setting
