About Us

Total Women’s Care is a distinguished OB/GYN practice in the Houston Heights, dedicated to delivering an exceptional patient experience. Within the next 6 months, the practice will be relocating to Memorial City area to facilitate deliveries. Since 2018, we have combined clinical excellence with a holistic, patient-centered approach, emphasizing nutrition and wellness throughout pregnancy while providing a serene, supportive environment for obstetric and gynecologic care.

Position Overview

We are seeking a polished and experienced Office Manager to oversee the non-clinical operations of our boutique practice. The ideal candidate will bring strong leadership, operational expertise, and a genuine commitment to patient-centered service.

Schedule

Monday & Wednesday: 8:00 AM – 4:00 PM
Tuesday & Thursday: 8:00 AM – 6:00 PM

Key Responsibilities

Oversee patient scheduling, registration, financial counseling, medical records, billing, collections, data entry, and cash posting.
Coordinate day-to-day practice operations and ensure seamless workflow across administrative and clinical teams.
Foster a culture of outstanding customer service at every level of the practice.
Develop, implement, and maintain office policies and procedures.
Recruit, interview, hire, train, and evaluate medical office staff; conduct regular performance reviews.
Maintain organized filing systems and operational records.
Ensure patient satisfaction by resolving complaints, identifying root causes, and implementing process improvements.
Maintain compliance with HIPAA, OSHA, labor laws, and applicable federal, state, and local regulations.
Plan and facilitate staff meetings, as well as internal and external meetings and conferences.
Ensure adequate staffing coverage for daily operations.
Manage clinical student compliance and school affiliation relationships.
Oversee clinical studies data entry and protocol compliance.
Support special projects and assist in clinician recruitment.

Education & Experience

Associate’s or Bachelor’s degree in Business Administration, Accounting, Health Care Administration, or a related field preferred.
Minimum of 5–7 years of experience in a medical office setting; OB/GYN experience strongly preferred.
2–3 years of experience in a supervisory or management role.

Knowledge, Skills & Abilities

Comprehensive knowledge of OB/GYN billing, including payment agreements.
Familiarity with Medicare, Medicaid, and commercial insurance regulations.
Human resources experience, including hiring, supervision, and performance evaluations.
Strong understanding of HIPAA and labor law requirements.
Excellent customer service and interpersonal skills.
Ability to write clear, effective policies and procedures.
Proficiency in healthcare software and computer systems.
Knowledge of medical supply and equipment maintenance.
Strong multitasking, problem-solving, and organizational abilities.
Professional communication and presentation skills across in-person, telephone, email, and video conference platforms.
Understanding of continuous process improvement principles.
Ability to communicate professionally and respectfully with clinicians, staff, patients, families, vendors, insurance payers, government agencies, and the public across all age groups.
