Are you the person who keeps the office running?

Management inSites is looking for an Administrative & Accounting Assistant to join our Charlotte, NC team. This is a hands-on, in-person role for someone who enjoys variety, likes working with people, and takes pride in getting the details right.

You’ll be the first point of contact for MI and several of our clients—answering phones, greeting visitors, handling mail, coordinating meetings, keeping supplies stocked, helping with travel and events, and making sure the office runs smoothly.

You’ll also spend part of your time supporting our Client Accounting team with data entry, AP/AR follow-up, payment processing, and collections calls and emails. You don't need to be an accountant, but you should be comfortable working with numbers, learning accounting systems, and professionally following up with customers about outstanding invoices.

No two days at MI are the same. One minute you may be welcoming a client, the next you're helping a team member with a meeting, entering a transaction, or calling a customer about an overdue invoice.

MI works with international companies—primarily in industrial, manufacturing, and B2B businesses—that are entering and growing in the U.S. market. Our team provides the operational and back-office support they need to succeed. That means this role gives you exposure to multiple companies, different business needs, and a wide range of day-to-day operations.

This is a 100% in-person, full-time position in Charlotte, NC.

Primary Responsibilities:

Serve as receptionist for MI and several clients. This includes answering multiple phone lines accurately, taking detailed messages, screening calls, and forwarding calls and messages to the right person.
Enter calls for certain clients into their CRM systems accurately and in a timely fashion.
Process all incoming and outgoing mail and faxes. Review incoming correspondence, discard spam and junk mail, scan and save legitimate correspondence, and notify the appropriate staff members.
Deposit checks at banks and through check deposit machines and apps at the office. Assist with efforts to move MI and our clients away from paper checks and toward electronic payment methods.
Maintain MI’s calendars: Track employee birthdays and milestones; Track client visits and important MI functions, events, and meetings; and Booking conference rooms.
Welcome guests to the office and provide basic hospitality, including preparing meeting rooms and providing coffee, water, and snacks.
Set up and clean up meeting spaces before and after meetings.
Plan and coordinate monthly internal meetings.
Manage employee celebrations, including purchasing cards and gifts, ordering food when appropriate, and communicating details to staff.
Coordinate client gifts and other approved client appreciation activities.
Ensure the office is appropriately decorated for seasonal occasions while staying within budget.
Monitor office and cleaning supplies and place orders as needed.
Maintain MI’s overall client contact list.
Communicate special announcements, office closures, and other information to clients and contacts as needed.
Arrange and book travel for MI Senior Leadership and clients as requested.
Assist with presentations and other administrative projects as needed.
Create and maintain process documentation and follow established procedures carefully.
Respond to correspondence and emails from customers, clients, contractors, and other contacts within expected turnaround times.
Accounting Support: Follow-up on AP and AR activities, including: Requesting invoices and supporting documentation for billings; Entering vendor bills and assisting with payment reports; Reviewing invoices, bills, and delivery information for completeness; Making AR collection calls and sending collection emails to customers regarding outstanding invoices; and Entering payments and preparing deposits.
Accounting Support: Review and enter expense reports, including matching credit card transactions and supporting documentation.
Accounting Support: Verify and post transactions in QuickBooks Online, Zoho Books, and other accounting software.
Accounting Support: Complete accurate accounting data entry and maintain organized supporting documentation.
Accounting Support: Ensure all client-assigned activities are completed accurately and within required deadlines.
As with any small and growing organization, the Administrative & Accounting Assistant may be asked to assist with other administrative, office, or client-support activities as needed.

Technical Skills & Experience:

Associate’s degree in administration, business, accounting, or a related field, or 3+ years of relevant work experience.
Strong working knowledge of Microsoft 365 and Word, Excel, and PowerPoint.
Experience with Google Workspace; Adobe DC; Slack; and other office software.
Experience with accounting software is a plus, particularly QuickBooks Online and Zoho Books.
Comfortable learning new software, systems, and client-specific processes.
Additional language skills are appreciated but not required. German or Italian are preferred.

Pay: $20.00 - $22.00 per hour
