Developmental Therapy Center (DTC) is seeking a full-time Medical Office Coordinator to join our administrative team.

For 75 years, Developmental Therapy Center has been changing lives by providing occupational, physical, and speech-language therapy, special instruction, and early intervention services to children, adults, and families throughout the Tri-State area. Our mission is to provide access to therapy services regardless of age, income, and geographic location.

As our Medical Office Coordinator, you will play an essential role in fulfilling that mission. You will often be the first person our patients and families meet and the first voice they hear on the telephone. Your professionalism, compassion, organization, and attention to detail will help ensure every patient receives exceptional service from their very first interaction with DTC.

The Medical Office Coordinator is responsible for helping ensure patients move efficiently from referral through scheduling, insurance verification, treatment, and documentation while providing exceptional customer service to patients, families, physicians, schools, and community partners.

The ideal candidate is proactive, highly organized, enjoys solving problems, takes initiative, and is committed to providing exceptional service to every patient and family.

Primary Responsibilities

Responsibilities include, but are not limited to:

Welcome patients, families, and visitors while providing exceptional customer service.

Answer and direct incoming telephone calls.

Coordinate patient referrals.

Schedule evaluations, re-evaluations, and ongoing therapy appointments.

Verify insurance benefits and obtain insurance authorizations.

Coordinate communication with patients, families, physicians, schools, and community partners.

Assist with West Virginia Birth to Three referrals and educational scheduling throughout the school year.

Collect patient copayments and outstanding balances.

Review therapy documentation for completeness and assist in preparing outpatient, West Virginia Birth to Three, and educational documentation to support the billing process.

Communicate with therapists regarding missing or incomplete documentation to help ensure accurate and timely billing.

Monitor assigned administrative reports and follow up to help ensure referrals, documentation, insurance verification, and scheduling tasks are completed in a timely manner.

Maintain accurate electronic records and documentation.

Assist with administrative responsibilities and special projects as assigned.

Qualifications

The ideal candidate will possess:

Associate's degree required; an equivalent combination of education and relevant healthcare administrative experience may be considered. Bachelor's degree preferred.

Medical office or healthcare administrative experience preferred.

Excellent organizational and multitasking skills.

Outstanding written and verbal communication skills.

Strong customer service skills with a friendly, compassionate, and professional demeanor.

Excellent attention to detail and problem-solving abilities.

Proficiency with Microsoft Office and the ability to learn electronic medical record software.

Ability to prioritize multiple responsibilities while working in a fast-paced environment.

A positive attitude and the ability to work collaboratively as part of a team.
