Full Job Description

The Administrative Assistant supports the daily operations of the school’s programs. This position is responsible for providing administrative support to the program director and staff, handling parent inquiries, maintaining records, and ensuring a safe and positive environment for students.

General Office Support Policies, Professionalism, and Procedures

Answer phone calls, field questions, and greet visitors with a positive demeanor.
Coordinate breaks with teams to ensure phone coverage at all times.
Assist with new enrollment and dismissal of children and team members.
Ensure all students are removed from all databases when the care has ended.
Inventory supplies prior to ordering.
Manage office organization and upkeep in accordance with safety and sanitary standards.
Organize and maintain the working environment, taking responsibility for its general upkeep and cleanliness.
Maintain confidentiality of documents, records, and other sensitive communication.
Serve as back-up center team member as needed.
Dress appropriately according to dress code.

Academic Support

Maintain proper sanitation in areas of responsibility and work to ensure sanitation throughout the office.
Provide occasional support in the classrooms as needed.
Be flexible in job assignments and cooperative with others on the leadership team and other team members.
Maintain confidentiality of documents, records, and other sensitive communication.
Inputs the template for the lead teachers for their newsletters and academic calendars into our parent communication app at the beginning of the month.
Exhibit flexibility with other team members.
Maintain a professional demeanor with students, demonstrating a positive attitude toward work, children, families, and fellow team members.
Perform data entry to ensure new students are recorded in center wide systems.
Disseminate new student welcome cards ahead of childcare start date.
Ensure all students are removed from all databases following termination of care date.

Leadership Support

Be able to problem-solve and assist as needed during leadership team absences.
Develop a thorough understanding of state licensing procedures to ensure compliance with regulations.
Possess knowledge of state licensing procedures to ensure compliance and assist in their implementation.
Actively plan to anticipate and avoid conflict-causing situations.
Update and incorporate new ideas and techniques when appropriate by keeping informed.

Requirements:

A minimum of a High School Diploma
Experience in a childcare facility preferred
Marketing degree or coursework preferred
Possesses strong customer service skills
Demonstrates effective leadership and communication skills

Providing a welcoming environment to new and current families

Hours: Monday to Friday 645am to 1245pm

Job Type: Part-time

Pay: $14.00 - $16.00 per hour
