Job Overview

We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team. This vital role combines essential bookkeeping responsibilities with administrative support duties, ensuring the smooth operation of our office and financial processes. The ideal candidate will be energetic, highly organized, and possess a strong proficiency in office management, data entry, and customer service. This position offers an exciting opportunity to contribute to a collaborative environment while honing your skills in financial record-keeping and administrative coordination.

Responsibilities

Manage day-to-day bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and bank reconciliations
Maintain accurate financial records by entering data efficiently and proofreading for accuracy
Handle multi-line phone systems with professionalism, providing excellent customer support and client communication
Assist with office management duties such as filing, organizing documents, and maintaining office supplies
Support front desk operations by greeting visitors, managing appointments, and answering phone inquiries with proper phone etiquette
Prepare spreadsheets and reports using Microsoft Office tools to track financial data and administrative metrics
Coordinate calendar management and schedule appointments for team members or clients as needed

Requirements

Proven experience with QuickBooks or similar accounting software
Strong computer skills including proficiency in Microsoft Office (Word, Excel, Outlook) and data entry tasks
Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
Previous office or clerical experience demonstrating attention to detail and accuracy
Bilingual abilities are highly desirable to facilitate communication with diverse clients and team members
Exceptional phone communication skills coupled with professional phone etiquette
Demonstrated ability to manage time efficiently and prioritize tasks effectively
Experience in customer service or front desk roles is preferred
Technical proficiency in office management tools such as spreadsheets, word processing, and productivity software
