Full Job Description

The role

The Receptionist and Office Coordinator is the first face of JHET, the person who sets the tone for everyone who walks through the door, calls the office, or reaches out looking for a next step. This role keeps the front of the office running, provides executive and scheduling support to firm leadership, assists with day-to-day office operations, and supports HR administrative processes under the direction of the Operations Manager. What you will own

Front desk and visitor experience

· Greet every guest warmly so they feel expected and well taken care of from the moment they arrive

· Answer, screen, and route phone calls and manage the general inbox with responsiveness and professionalism

· Keep the lobby and conference rooms guest-ready and handle meeting hospitality, setup, and breakdown

· Issue visitor badges and follow building access and security procedures

· Set the tone for how JHET feels — your presence at the front desk shapes the first impression every time

Executive and leadership support

· Manage calendars, scheduling, and meeting prep for the JLT (JHET Leadership Team)

· Arrange travel, accommodations, and logistics for leadership, and prepare and reconcile expense documentation

· Coordinate and prepare materials for client meetings and internal leadership sessions

· Draft and send routine correspondence on behalf of leadership as directed

· Manage leadership follow-up items, action lists, and scheduling commitments to ensure nothing falls through

· Coordinate scheduling for Lunch and Learn sessions and other internal programs as directed

Office operations

· Keep the office stocked, tidy, and running from supplies to shared amenities and kitchen areas

· Receive, sort, and distribute mail and deliveries

· Coordinate vendors and building services in support of the Operations Manager

· Track office expenses and supply inventory

· Manage all parking-related items, including coordinating passes with the building, updating registered parkers and license plates, and handling tickets or violations on behalf of the firm

· Serve as the primary point of contact for team members and visitors on parking questions and access

HR administrative support

· Support in-person I-9 document verification as a designated resource for the Operations Manager; remote or hybrid hires require a separate authorized representative process coordinated through the CFO

· Coordinate interview scheduling and candidate logistics in partnership with the JLT and Fractional CHRO

· Assist with new hire onboarding logistics including welcome coordination, day-one setup, and documentation collection

· Support benefits administration by routing employee questions to the appropriate resource

· Assist with offboarding steps including equipment return coordination and documentation collection

· Maintain organized HR filing and documentation in coordination with the Operations Manager and CFO

· Schedule HR-related meetings, onboarding sessions, and internal check-ins as directed

Pay: $50,000.00 - $60,000.00 per year
