Full Job Description

About the Role

Pallet Supply is looking for a detail-oriented Accounting & Administrative Clerk to keep our office running smoothly and manage day-to-day accounts payable and accounts receivable. Reporting directly to the CFO, you'll be a key part of a small, hands-on finance and operations team where accuracy and reliability matter. This is an on-site, full-time position.

What You'll Do

Process accounts payable: enter vendor invoices, match to purchase orders, schedule payments, and reconcile statements
Process accounts receivable: generate and send customer invoices, apply payments, and follow up on outstanding balances
Create and manage purchase orders; track and reconcile against vendor invoices and receipts
Create and process sales orders; ensure accurate entry, fulfillment, and invoicing
Maintain accurate financial records in QuickBooks and our Pallet Connect system, and assist with month-end close
Handle general office administration: answering phones, managing mail and supplies, filing, and organizing documents
Support the CFO with reporting, data entry, and ad hoc administrative tasks
Communicate professionally with vendors and customers to resolve billing questions

What We're Looking For

5+ years of experience in a bookkeeping, AR, AP, and administrative role in a manufacturing environment
Hands-on experience with QuickBooks (required)
Proficiency with Microsoft Office/Excel
Comfortable learning and working in our Pallet Connect system
Strong attention to detail and accuracy with numbers
Well organized, able to juggle multiple priorities and meet deadlines
Professional communication skills, both written and verbal
Bilingual English/Spanish highly preferred
High school diploma required; associate's degree in accounting or business preferred
