What we’re looking for:

A Project Administrator with 3+ years of administrative experience within a commercial/industrial contracting firm to join in our success.

What you’ll do:

Prepare and route construction contracts (subcontracts, purchase orders, and change orders) in our internal system to vendors and accounting department.
Daily Procore web-based project management applications.
Prepare monthly requisitions for Payment on Procore or Excel lien waivers for payment purposes.
Coordinate bids and assist with bid solicitations.
Type and prepare documents, such as Letters, Reports, Memos, Spreadsheets, and Meeting Minutes.
This work may entail producing confidential documents.
Prepare final documentation in written format. Careful editing and proofreading is required.
Maintain, compile, and process closeout documents, O & M manuals, and warranties at job completion. Provide front desk/reception support as required.
Maintain accurate submittal records.
Assist Superintendents with general project information, including travel arrangements as needed.

Skills, Knowledge, Qualifications and Experience:

High school diploma or college degree.
At least 3 years of administrative experience with a commercial/industrial contractor is required.
Task-oriented with an ability to manage multiple priorities in a flexible, supportive work environment.
Ability to work independently.
Ability to work in a fast-paced environment and have a strong sense of urgency to complete tasks in a timely manner.
Proficient in Procore (Project Administrator level), MS Word (Advanced level), Excel (Intermediate level), PowerPoint, Outlook, and other software necessary to perform job-related responsibilities.
Superior written communication and proofreading skills are mandatory.
Must be organized and detail-oriented.
Ability to establish and maintain effective working relationships with peers, supervisors, clients, and vendors.
Ability to work under deadline pressure and extra hours if needed on assignments.
Must be a team player and able to easily accept change.
