Full Job Description

Location: Joliet, IL

We are seeking hard-working, friendly, and customer-focused individual to join our team at the front desk of a very busy medical office. This role demands the ability to multi-task and maintain a positive attitude in often stressful situations. Successful candidates will become part of a strong and special team known for its exceptional service and patient care. An upbeat personality is not just a preference; it's a requirement.

We attend to patients from 7:00 am until 5:30 pm. Actual hours may very slightly.

Key Responsibilities:

Answer incoming phone calls in a friendly, professional, and efficient manner.
Assist new and existing patients with scheduling appointments and answering basic questions about the practice.
Follow up with patients who have inquired about services and help guide them toward scheduling an appointment.
Collect and verify important patient information, including insurance details, referral requirements, demographics, and reason for visit.
Coordinate appointment scheduling across providers, departments, and multiple locations.
Communicate with patients regarding appointment availability, required paperwork, insurance/referral needs, and next steps.
Document calls, patient requests, and scheduling updates accurately in the practice management system.
Work closely with front desk, audiology, allergy, clinical, and administrative teams to support a smooth patient experience.
Handle general intake and administrative tasks that help patients move efficiently from first contact to scheduled appointment.

Requirements:

Strong multitasking and organizational skills.
Ability to maintain a positive and professional demeanor under pressure.
Excellent communication and interpersonal skills.
Willingness to work at multiple locations as specified (only on rare occasions).
