Full Job Description

Financial Administration

Responsibilities include handling accounts receivable and accounts payable, commission tracking, providing monthly spreadsheet of commissions to partners, invoicing, basic general ledger entries in accounting software. Monitoring agency budgets and cashflow. Working with accountant on financial statements and tax returns. Checking three bank accounts daily for Positive Pay confirmations. Reconciling expense reports from sales team (for two companies). Providing vehicle and property changes to insurance company, conducting a yearly review of requirements and a yearly workers’ comp audit (for two companies). Working with 401(k) company and pension administrator on enrollments, terminations, loans, etc. Sending monthly contributions from payroll and completing 401(k) audit annually. Handling equipment leases. Ordering equipment (laptop, etc) as needed for new hire and employees.

HR Administration

Responsible for providing salary and expense reimbursement information to payroll service for monthly payroll (for two companies). Providing new hires employee paperwork for the payroll service and enrollment in health, dental, vision, life and disability insurance and 401(k). Adding new employee health and dental applications through Employee Navigator (EN) portal with the insurance agent. Assisting employees with insurance changes through EN portal. Requesting and tracking company email addresses, changes. Working with Managing Partner regarding employee issues, discipline, warnings, etc. Reporting FSA contributions monthly to administrative company. Reporting COBRA requests to administrative company as needed.

Team and Office Coordination

Supervising administrative staff - scheduling time off, vacations, etc. Assisting with customer requests, issues. Managing office supplies. Overseeing CRM software and working with data entry specialist on updates and issues. Overseeing and working with administrative staff on Quotes program. Providing administrative support for outside sales team. Picking up mail from post office and distributing.

Salary: $90,000.00 - $115,000.00
